Request for Information # 1 We have some clarification questions so that we can be sure we are providing what is needed for this

RFQ.

1) Can you provide the room dimensions? – The measurements are 26 1/4 ft by 37 1/2ft

2) Can you provide the room seating layout and capacity with instructor position?

3) In the Statement of Work a (SOW) “55” heads up display” is listed. Is this intended to be a confidence monitor for the instructor?

a. Yes. A ceiling-mounted display for the instructor/presenter to mirror the projector output.

4) In the SOW what is meant by “AEC and Telco” Telco = telephone; AEC is automatic echo cancellation. This is a feature that the Biamp DSP needs for the audio conferencing

5) Will the instructors Exact Desk require one or two GFE monitors?

a. One monitor will suffice

As far as the subject RFP I have a few questions:

- Must be located within a 55 mile radius of the shipyard o While we have an office in Massachusetts that services DoD client such as USAF –

Hanscom (Command Conference rooms) we have technician resource on the North Shore of Ma as well as Portland, Maine. The office is 97 miles, however are tech resources are within 55 miles. Will that suffice?

o I like the idea of more local companies, but I don’t know if we are allowed to demand that distinction. However, if their technicians have to travel TO their office to get direction, supplies, etc. before they can travel to the Shipyard for troubleshooting, that effectively puts them well beyond the 55-mile radius.

- Laser Projector o Do you have a minimum lumens? We would typically use a TAA Sony 6K for this kind of room but as written a competitor could bid 2K lumens projector.

- Do you have a sketch of the room and layout (with dimensions)?

o I cannot access a drawing remotely.

- Previous experience with providing AV systems, including installation and training, at

Portsmouth Naval Shipyard.

o Knowing what to bring and, especially, what NOT to bring on-yard is helpful. Already having a staff who is cleared and badged is essential.

Here are the questions we came up with after reading the RFP:

What type of ceiling is in the space? Drop-tile, hard, open, etc.

o Drop-tile (2’x2’) with 36” of space above the tile grid.

Does the space have an excess amount of ambient light? Do the windows have shades? (mainly for brightness of projector) o I believe the windows do have shades; there are only windows on the NNW wall – the same side as the projector screen is to be mounted.

Please clarify how many wall mounted input plates are required. The RFP seems to be asking for 2, is not clear.

o A 2-gang plate is a single plate covering a 2-gang junction box. If the contractor is unsure of what a 2 gang wall plate is, we don’t want them building our conference room.

Please clarify which Biamp Parle microphone model is required. There are 2 models, one is flush to the ceiling the other hangs down.

o Flush-mount model What model is the Exact Furniture Desk? Who will provide?

o Contractor is to provide. Unsure of specific model.

What size touch panel is required for system control? They come in a variety of sizes, from 5” up to 20+”. Usually we find 7” is the most popular.

o 7” model is preferable.
