LP Gas and Tank Monitoring Services Solicitation M6700124Q1012 Questions Received and the Government’s Response

Q1: Who is the Incumbent for the existing Contract?

A1: The current contract is M6700121D0001 and all information can be found on SAM.gov.

Q2: Can we provide information on what the application of the LP Tanks will be at each location?

A2: Please see attachment titled List with Usage. This attachment contains the building location, number of tanks at each site, the sizes of each tank, and what the Gas will be used for, (i.e. heating, cooking, spa, etc.).

Q3: How many tanks will be required and what capacities/sizes? If not known how will this be determined?

A3: Please see A2.

Q4: Is this a contract that is being extended, if so what is the current award amount?

A4: This is a new contract as the previous contract included multiple Bases and outlaying fields, which included approx. 450 tanks, where this requirement contains approx. 82 tanks and incorporates (1) Air Station and (2) outlaying fields.

Q5: Will onsite visit be permitted? If so, what are the requirements?

A5: A site visit is not being permitted.

Q6: Can the propane deliveries under this awarded contract be completed by a subcontractor to the small business?

A6: Yes, the Prime contractor can hire a subcontractor that is local to the area.

Q7: Due to the large number of delivery sites, it is possible that someone is not at the location in order to get a signature. Since Covid our company has moved towards electronic delivery tickets. Can the signature and leaving a ticket copy requirement language be removed?

A7: The preferred method of delivery tickets is for a signature to be obtained and a delivery ticket to be left with a government representative. However, if a Government representative is not at the site, or if a company has moved away from paper tickets, then electronic copies shall be provided to the Utilities Manager and Michael McGee within 24 hours of the deliveries.

Q8: Due to company policies, a fixed price can normally only be held for one year at a time. Can a line be added to split up pricing for the base year effective 1/1/24 – 12/31/24 and the option year effective 1/1/25 – 12/31/25?

A8: This requirement will remain as a 2-year requirements contract.
