Maintenance includes, but is not limited to, inspection, lubrication, adjustment, calibration, interior cleaning, sanitizing all exterior surfaces, checking electrical components, pad repair, and replacement of worn and/or deteriorated parts. Preventative maintenance shall be accomplished within the prescribed time frame as recommended by the manufacturer but not less than quarterly. The contractor shall log all actions in the maintenance logbook for each piece of equipment. The contractor shall document the estimated repair-by date for each piece of equipment, to include estimated time of parts to be delivered on order. The equipment maintenance logbook will be kept at the Fitness Center’s front desk.

If PMIs were not performed in accordance with (IAW) paragraph 5.1.1 within 5% of the scheduled amount for any given quarter, the contractor may not invoice for that quarter of PMI until the required number of PMIs has been completed.

5.1.4 Make-up PMI visits shall be performed after being scheduled with the government TPOC or authorized designee.

5.1.5 The contractor shall, within five (5) business days after receipt of this order, notify the TPOC, set an appointment to, and inspect all equipment to determine the status of all equipment to be maintained.

The contractor shall log their time at the DHHQ making repairs as well as the actual repair work and parts used in the call service report. All repairs shall be accepted as complete by the DHA DHHQ TPOC or authorized designee.

All replacement parts required to maintain serviceable equipment will be ordered within 24 hours after the service call. All repairs will be to manufacturer’s specifications.
