About this file

This is a Terms and Conditions document issued by the Philadelphia Department of Public Health for a Health IT contract opportunity involving an upgraded conferencing system for the 11th and 8th floor conference rooms. The solicitation will be awarded as a whole or by line item, whichever serves the City's best interest, to the lowest responsive and responsible bidder. Vendors must quote all items to be eligible for award and are prohibited from delivering services or products until receiving formal notification from the department. All potential vendors are required to conduct a mandatory site visit before submitting a bid to obtain accurate measurements specific to the conference room locations, as any deviation from specified dimensions may result in automatic disqualification. Once a quote is submitted through PHL Contracts, the bid amount cannot be adjusted. Vendors who fail to complete the required site visit or meet stated requirements will be automatically disqualified from consideration.

The Philadelphia Department of Public Health reserves the right to request job-specific references prior to awarding the contract and may verify vendor qualifications relevant to the services being offered. Vendors are strongly encouraged to thoroughly review the entire bid solicitation and submit any questions before responding. The procurement process emphasizes adherence to specified requirements and accurate measurement submission to ensure quote accuracy and project success.
