About this file

This document is a Questions and Answers document for a Combined Synopsis/Solicitation (Solicitation Number: FDA-25-75F40125Q00323) related to a lab coat and towel rental/cleaning service for a federal laboratory. The solicitation covers weekly laundry and replacement services for up to 192 lab coats and 130 towels, with one weekly pickup and delivery on a designated weekday between 8:00 a.m. and 12:00 p.m. The laboratory currently has around 100 lab staff, with some employees potentially requiring multiple coats based on their duties, and a consistent need for 130 towels to be on hand weekly.

Key operational details include a flexible cleaning model where the actual number of coats cleaned weekly will vary, dependent on the coats turned in for cleaning. The lab routinely has 80-100 staff on-site daily, with lab coats used daily by staff. The vendor is expected to return all submitted coats the following week after laundering. The service is intended to ensure clean lab coats and towels are consistently available for laboratory personnel, with the maximum quantities serving as a rental/inventory cap rather than a strict weekly cleaning requirement.

Questions and Answers for COMBINED SYNOPSIS/SOLICITATION

SOLICITATION NUMBER: FDA-25-75F40125Q00323

The answers are in red.

1. Weekly quantities / service model o The RFQ caps service at up to 192 lab coats and up to 130 towels per week. Can you confirm whether this represents the total weekly turnover serviced (picked up, laundered, and returned) versus a requirement to have an equal number simultaneously on-hand? There Is no set weekly turnover, the lab just needs the dirty coats sent for cleaning the week before to be returned the following week. The weekly cleaning number will vary. The Max number of coats is the number to be rented not cleaned weekly.

o The RFQ indicates one weekly pickup/drop-off on a designated weekday (Mon–Fri, 8:00 a.m.–12:00 p.m.). Please confirm that pickup and delivery occur during the same weekly visit. Yes pickup and delivery occur on the same day, one day a week.

2. Headcount and allocations o How many employees currently require lab coats? Currently we have around 100 lab staff. Some will need more than one coat. So the total number will reflect at least one coat per staff, but up to 3 costs for some individuals due to the duties performed.

o How many employees require towels, and what is the expected towels-per-employee allocation each week? There is no number of towel per employee, Just need the number on hand at the lab to always equal 130.

o Do you have a preferred coats-per-person rotation (e.g., two per person in weekly rotation), or should vendors propose a standard rotation? The number is dependent upon the coats turned in to be cleaned the week before, all of those coats should be returned the following week (laundered).

3. Workforce schedule o For planning, can you share the typical number of employees on-site by day of week

(Mon–Fri) who will use coats/towels? If variable, any average ranges are helpful. The lab will routinely have up to 80-100 staff on site any given weekday. The use of towels will be consistent as approximately 130 on hand weekly (beginning of the week). We may be able to consider how many are laundered weekly on routine basis and adjust needs accordingly. Lab coats will be used daily per staff.
