Q: Can you please confirm that references to “Concrete Anchors” in the solicitation is referring to Concrete tent ballasts/weights? Versus actual concrete anchoring systems that are drilled into the concrete pad. I believe some of the number of concrete anchors may differ than what will be used – depending on the size and style of tent installed and expected weather conditions. If the base is wanting additional concrete ballasts for something other than weighting down the requested tents, please let me know (like for the Qty. 1 small concrete anchors in packages 1&2).
A: The intent behind this is to weigh down each tent so that they stay in place. Additionally, drilling into any of the Hangar floors is not desired as it can kick up dust and may release contaminants into the air that may have collected on the floors from aircraft over the years. So, there is no desire for any drilling to take place.
PACKAGE 1:
Q: Do you only want 4 – 20’ windowed sidewalls (80’ total, which would only cover 3 sides of a 20x40 tent), or are you really wanting 120’ of windowed sidewalls which would cover all 4 sides of the tent?
A: This was taken directly from the quote received by the base during market research and covering 3 sides meets the needs of the event. However, if you would like to separately quote tents that cover all 4 sides you may choose to do so. Please keep in mind that this is still a lowest price technically acceptable evaluation, and no extra consideration will be given for providing above and beyond what was requested.
Q: Is Black ok for the 8 spandex linens (instead of navy blue)?
A: No, the Navy Blue is requested as being as close to Air Force blue as would be desired for any Air Force event. Black, or any other color except Navy/Air Force Blue will not be acceptable.
Q: under “SO LINEN POLY” – what is the SO supposed to stand for?
A: The item descriptions were copy and pasted directly from the market research quote and SO could stand for anything that vendor chose for it to stand for. They may or may not share the meaning with us, and at this stage it may take too long to request and receive an answer for that. Additionally, they may be unwilling to share as they are also a prospective bidder on the effort. The need for the event is a 90” X 120” Banquet Tablecloth and is the reason pictures were requested to be submitted alongside the quote for evaluation and acceptance.
Q: for the 10 – 90x132 linens, what color are you wanting? (if multiple colors, how many of each color?)
A: No color schemes were provided, and in the interest of time a safe bet for any prospective bidder given the nature of the event is maintaining the elegance of White.
PACKAGE 2:
Q: Do you only want 4 – 20’ window sidewalls (which would only cover 3 sides of a 20x40 tent), or are you really wanting all 120’ of windowed sidewalls which would cover the entire tent.
A: Same answer as before regarding sidewalls.
Q: under “SO LINEN POLY” – what is the SO supposed to stand for?
A: Same answer as above.
Q: for the 10 – 90x132 linens, what color are you wanting? (if multiple colors, how many of each color?)
A: Same answer as above.
Q: for the 10 – (Red white and blue linens) 132” Round – how many of each color are you wanting, or are you wanting 10 linens of each color??
A: The intent of this request was to have the awardee provide linens that were Red, White, and Blue, much like the American Flag.
Q: what is the extra Concrete Anchor Small – Qty of 1, being used for??
A: Since the customer could not exactly come up with their requirement this was taken directly from the market research quote for that package, and only that vendor can explain it’s use. It may be related to the type of tent, and the size, and that combination of anchors is what’s required or how it was designed. The most important aspect for this, and it applies to any package, is that the anchors provided adequately support each provided tent and prevent those tents from moving and/or being blown over.
Q: Would it be ok to supply 7 – 5’ Round tables, instead of 5 – 6’ Round tables to accommodate the same amount of people?
A: Due to limited space, and approved layout for each tent, it is too uncertain if that would fit. We request that the quote be based on what was asked for and if that's impossible at a minimum the quote shall provide proof that the change would not affect overall space utilization. Also keeping in mind that any differing number of tables would require changes in quantities of tablecloths and associated items.
PACKAGE 4:
Q: Can you please confirm that you only want 3 sides of the 10x20 tent in package 4 to be covered with sidewalls?
A: Same answer as above.
Q: Do you mean to have a Qty. of 4 concrete anchors for the 10x20 (instead of a Qty of 2?)?
A: As earlier stated, depending on the tents being offered, and their design, the prospective bidder must only ensure that the anchors being provided, to include their number, are sufficient to support the tent and keep them from being blown over.
Q: Will it be ok to substitute white resin padded chairs for the 30 “white fanback chairs”?
A: White fanback chairs are being requested for that tent.
PACKAGE 5:
Q: Does the 10x20 tent in package 5 get secured with concrete anchors like all the other tents? (none were listed)
A: Yes, and we appreciate catching that. All tents are required to be secured with concrete anchors that support each tent.
Q: Will it be ok to substitute white resin padded chairs for the 6 “white fanback chairs”?
A: White fanback chairs are being requested for this tent.
