(1) SCHEDULED MAINTENANCE: The awarded contractor/vendor will provide a manufacturer’s maintenance schedule for each vehicle to the 6 AMXS designated representative upon delivery of the vehicles. The contractor shall provide services or location of service station to representative on where to take vehicles for scheduled services in accordance with manufacturer’s routine maintenance requirements at no additional cost to the Government.

If the vehicle’s manufacturer identifies two or more maintenance schedules based on usage and/or driving conditions of the vehicle, the 6 AMXS representative shall make the determination as to which maintenance schedule shall be followed. Scheduled turn-in of vehicles shall be made at least three (3) days in advance by the Government Representative to the pre-identified service location. In addition to the required scheduled services, the contracted vendor shall conduct the following checks of the vehicle and repair, or adjust as necessary to comply with manufacturer’s specifications when required:

Check all fluid levels – fill as needed Check all vehicle external lights and signals – replace as needed Check tire tread wear and tear (including the spare) and inflation level – replace as needed Check front wheel alignment (unless identified specifically in the maintenance schedule) Check vehicle for any leaks – seal if needed Check brake pads for wear – replace if needed

(2) UNSCHEDULED MAINTENANCE: Unscheduled maintenance is maintenance required to return the vehicle into compliance with all specifications under this acquisition as a result of any unforeseen breakdown of equipment at no additional cost to the government/user.

Electrical maintenance problems

(3) REPAIR OF FLAT TIRES: The repair or replacement of failed tires which are a result of any item that renders a tire unserviceable under normal driving conditions by nail, screw, glass, plastics, or other similar item shall be repaired or replaced by the contractor at no cost to the Government. If it is determined by mutual agreement of both the contractor and user that a tire failed due to willful negligence of the Government driver, the Government shall pay for the repair of the flat tire.

(4) DAMAGES: The awarded contractor/vendor will be responsible for repairs resulting from normal wear and tear. Damages such as door dings or minor scratches are considered normal wear and tear.

Damages resulting from the contact of two vehicles (one or both in the process of movement) or the leased vehicle striking an immovable object while being driven, shall be reported to the providing awarded contractor/vendor to determine repair requirements/replacement.

1.4. ANNUAL MILEAGE: All vehicles under this contract shall be granted a minimum 12,000 miles annually (1,000 Miles Per Month). AMXS has averaged 500 - 800 Miles per month. Vicinity of travel is 10 mile radius, typically on base only unless maintenance repairs/servicing are required then will typically be down town. These are not utilized for long distance travel.

1.5. VEHICLE PAYMENTS:

(a) Upon submission of proper monthly invoices by the awarded Contractor/vendor, the Government shall pay for each vehicle at the rate(s) specified in the awarded contract.

(b) Rent shall accrue from the beginning of this contract, or from the date each vehicle is delivered to the Government, whichever is later, and shall continue until the expiration of the contract term or the termination of this contract. However, rent shall accrue only for the period that each vehicle is in the possession of the Government.

(c) Rent shall not accrue for any vehicle that the user determines does not comply with the Conditions or Requirements of this contract, until the vehicle is replaced, or the defects are corrected.

2.2. OTHER SPECIFICATIONS:

1. Any 2020 or newer model vehicles, any color (prefer white or light color).

2. Full fuel tank on initial delivery of vehicle.

3. All fluids required for operation filled in accordance with manufacturers’ specifications.

4. Free of any fluid leaks.

5. Vehicle shall operate on unleaded fuel/E85 compatible or diesel fuel.

6. Vehicle shall comply with the National Highway Traffic Safety Administration (NHTSA) Federal

Motor Safety Standards and Regulations and have obtain a minimum Three (3) Star Rating on the vehicle safety performance provided by NHTSA. The website for this information is:

7. Contractor may replace the vehicle at any time with an equal or higher quality vehicle (based upon age and mileage, maintenance costs on that specific vehicle, factory recall, etc.).

8. Vehicle maintenance and repair included by vendor/contract recipient/provider of vehicles.

9. Must have tow capacity of 4,000 LBS with tow hitch receptacle.

10. Power Windows Preferred.

11. Air Conditioning - if Rear A/C and/or Vents are available that that is preferred, if not at least vents, then it must be open bay to the back area that way air can flow into the seating and/or cargo area to cool it off for the passengers. So not a closed off cab.

12. Blue Tooth Capability for hand free devices preferred.

2.3. MAINTENANCE PACKAGE/WARRANTY REQUEST:

The awarded Contractor/Vendor shall be responsible for rendering or performing all scheduled and unscheduled maintenance, at no additional cost to the government which includes all labor, equipment, parts, and materials referenced but not limited to the identified items below. If unable to provide all Maintenance Package/ Warranty Requested awarded contractor/vendor shall provide counteroffer during contract submission.

(d) Rent shall not accrue for any vehicle during any period when the vehicle is unavailable or unusable as a result of the awarded Contractor/Vendor’s failure to render services for the operation and maintenance of the vehicle as prescribed by this contract.

(e) Billing cycle for all vehicles under this contract will be from the 1st / 30th or the last day of the month.

Vehicles obtained after the 1st, will still follow the end of month billing cycle procedures. (Example: billing cycle 12 Feb – 28 Feb). The awarded contractor/vendor will submit bill for actual days used by the Government for that month.

2.6. CONDITION OF LEASED VEHICLE: Each vehicle furnished under this contract shall be a 2020 or newer model. The vehicle shall comply with the National Highway Traffic Safety Administration (NHTSA) Federal Motor Safety Standards and Regulations and have obtain a minimum Three (3) Star Rating on the vehicle safety performance provided by NHTSA. The Government shall accept or reject the vehicles promptly after initial delivery.

2.7. LEASE TERM AND CONDITIONS: Duration of this contract will be a performance base period of 12 months with 1 six-month extension option (if needed). Additionally, the government shall be permitted to terminate or be authorized to buy out leased vehicles at any time during contract without additional fees or penalties.

2.8. DOCUMENTATION TO BE PROVIDED BY AWARDED CONTRACTOR/VENDOR: The awarded Contractor/Vendor shall provide the MacDill AFB Contracting officer or the designated Government Personnel in 6 AMXS the following information on each vehicle upon delivery:
