STATEMENT OF WORK

McConnell AFB KC-46 Pegasus Welcoming Ceremony Ceremony Support

GENERAL:

The contractor shall provide all personnel, equipment, tools, supplies, materials, supervision and transportation necessary to deliver, set up, and remove all equipment necessary to conduct McConnell AFB’s KC-46 Pegasus welcoming ceremony.

AUDIO/VISUAL PERFORMANCE REQUIREMENTS:

The contractor shall deliver, set up, and remove the following equipment:

1. Microphones/sound equipment for one (1) 24’ x 32’ stage at 4’ high, carpeted, with two (2) podiums and seating. Mics should include two (2) handheld mics for the podiums and six (4) lapel mics.

1. Microphone kits for one (1) 12’ x 32’ riser for band, with chairs.

1. Direct sound feed to one (1) 12’ x 32’ press riser and mult box.

1. Speaker equipment for +/- 2,000 chairs and eight (8) sets of fifty (50) person bleachers audience in a large hangar.

1. Recording equipment and six (6) televisions or projector screens displaying main events of the ceremony large enough for +/- 2,000 chairs and eight (8) sets of fifty (50) person bleachers in a large hangar to see events.

1. One (1) large television or one (1) each projector and projector screen near the main stage to display a presentation.

7. One (1) external auxiliary audio input for playing from external sources as necessary.

All items must be in place no later than (NLT) 10:00 AM 27 Oct 2018 and removed NLT 4:00 PM 28 Oct 2018 (subject to change to any Saturday – Sunday from 27 Oct 2018 to 25 Nov 2018).

Vendor must have employees on-site from 2:00 PM 27 Oct 2018 to 9:00 PM 27 Oct 2018 to ensure uninterrupted audio and visual coverage.

STAGE/SEATING PERFORMANCE REQUIREMENTS:

1. One (1) 24’ x 32’ stage at 4’ high, with two (2) sets of stairs with rails, stage drape, stage bunting, two (2) podiums, ten (10) high back chairs with arm rests.

2. Large Truss and drapes for the reveal of the KC-46 Pegasus and six (6) 50’ drapes for media areas. These will also be transitioned into the dinner area after the ceremony.

3. One (1) 12’ x 32’ press riser at 4’ high, with tables and chairs for working media.

4. One (1) 12’ x 32’ production riser for cameras, lights and sound, with tables and chairs.

5. One (2) 12’ x 32’ riser for the band/choir, with chairs.

6. +/- 3,600 chairs.

7. Eight (8) sets of fifty (50) person bleachers.

8. Twelve (12) high top round tables

9. Three hundred (300) feet of drapes and bunting for pre-reception and dinner

10. Forty six (46) round 8 top dinner tables (chairs from ceremony)

11. Twenty Five (25) six’ rectangle tables

All items must be in place no later than (NLT) 10:00 AM 27 Oct 2018 and removed NLT 4:00 PM 28 Oct 2018 (subject to change to any Saturday – Sunday from 27 Oct 2018 to 25 Nov 2018). The dinner area (46 round dinner tables) will need to be set up from 1:00 PM to 4:00 PM the day of the event. Additionally, the 12 (high top) tables will need to be removed after the start of the ceremony or before 3:00 PM the day of the event.

LIGHTING PERFORMANCE REQUIREMENTS:

1. Adequate stand-up lighting to illuminate all secondary stage and seating areas to support the ceremony.

2. 1kw HMI lights to illuminate the main stage bright enough to bridge the difference between the inside and outside lighting conditions.

3. Four (4) two hundred (200) feet extension cords to be used by Air Force Public Affairs.

All items must be in place no later than (NLT) 10:00 AM 27 Oct 2018 and removed NLT 4:00 PM 28 Oct 2018 (subject to change to any Saturday – Sunday from 27 Oct 2018 to 25 Nov 2018).

Vendor must have employees on-site from 2:00 PM 27 Oct 2018 to 9:00 PM 27 Oct 2018 to ensure uninterrupted lighting coverage.

PUBLIC WIFI PERFORMANCE REQUIREMENTS:

4. Wireless access points capable of connecting to commercial Internet for up to 100 users. Coverage that expands the entire ceremony grounds.

5. Onsite technicians capable of troubleshooting any issues users may experience.

All items must be in place no later than (NLT) 10:00 AM 27 Oct 2018 and removed NLT 4:00 PM 28 Oct 2018 (subject to change to any Saturday – Sunday from 27 Oct 2018 to 25 Nov 2018).

Vendor must have employees on-site from 2:00 PM 27 Oct 2018 to 9:00 PM 27 Oct 2018 to ensure uninterrupted wifi coverage.

CLEANING: After service is complete, the area shall be clear of all debris that could pose as a Foreign Object or Debris (FOD) hazard.
