Questions and Answers – Sheet 1 -- to RFQ# F3W3427013A001_Hoods-DuctsCleaningService

Question 1:

In the PDF attachment (Request for quotation: RFQ#F3W3427013A001) the form relates to specific items (CLIN 0001/0002/1001-2/2001-2/2002/3001-2/4001-2), where individual and total prices for future services are requested.

Please could you explain to which specific objects and buildings these item numbers relate?

Answer to Question 1:

1. The list of the specific buildings is in the same PDF-file under paragraph 12, Attachment 2. That table contains also the cleaning frequency for each building. (Translation: Die Liste mit den einzelnen Gebäuden ist in derselben PDF-Datei unter Paragraph 12, Attachment 2. Diese Tabelle enthält auch die Häufigkeit der Reinigungen für jedes einzelne Gebäude.)

Question 2:

We are registered in the System for Award Management (SAM). If all our details are current and accurate in the SAM system, do we still have to fill out the highlighted areas in Attachment 3?

Answer to Question 2:

No, you don’t have to fill out Attachment 3. ONLY contractors who are NOT already registered in SAM must fill out Attachment 3 or Attachment 4 respectively.

Question 3:

I have a question about the Combined Synopsis/Solicitation posted to FBO under solicitation number

F3W3427013A001_HOODSDUCTSCLEANINGSERVICE.

I am hoping to find out if there is an incumbent contractor currently performing these services or if this is a new requirement. If there is an incumbent, could you please provide the contract number?

Answer to Question 3:

Yes, we have an incumbent and the contract number is FA5606-12-C-0004.

Question 4:

Attachment 2: Estimated Hoods & Ducts Workload including Annual Frequency Chart – Could the Government please provide Hood Quantities including dimensions, Filter Quantities including dimensions, Motor Quantities, and Duct Quantities including meter length for each unit? This information is critical in providing a balanced price quote and currently only the incumbent contractor has access to this information.

Answer to Question 4:

The Government will not provide any dimensions and measurement. The intension of the site visit is to give the opportunity to the companies to collect information about the hoods and ducts systems.

Question 5:

Attachment 2: Estimated Hoods & Ducts Workload including Annual Frequency Chart – Are the service times stipulated in Attachment 2 the times a cleaning can be conducted or does it state the operation times of the receiving unit? For example: Bldg. 147 has 8 systems. If we estimate each system requires 2 hours of work, will the unit be closed for us or are we restricted to certain cleaning times only, i.e. after breakfast (0800) – before lunch (1000) and / or after lunch (1300) – before dinner (1700)?

Answer to Question 5:

The Service time gives just a time frame. Outside of this, the building cannot be entered.

Kitchen operations will not be interrupted. Cleaning must be performed before or after lunch season.

Question 6:

Attachment 1, 3.1 Quality Control – Will the Fire Prevention Office personnel be inspecting each system every cleaning cycle? Please specify how long an inspection will last and whether they can inspect multiple systems simultaneously?

Answer to Question 6:

The inspection by the fire prevention office after cleaning will not take more than 15 minutes per building. Only 1 (one) fire inspector will be available at the same time. A second fire inspector, to inspect another building at the same time, cannot be ensured.
