About this file
This addendum contains questions and answers clarifying the requirements for RFP #717-26-724, a staging and commencement production project for Texas Southern University (TSU). The project requires comprehensive audio, video, staging, and streaming services including stage wash lighting to illuminate speakers, graduates, choir, and performers for both in-arena presentation and broadcast quality. The vendor must supply two 4K stationary cameras with sports lenses positioned on vendor-provided risers and two 4K rover cameras. Additional requirements include a 110-foot truss system with black draping at 20+ feet height (ground-supported or flown), railings on all ramp access points, and embedded-ready streaming link delivery. The University intends to require setup occurring 72 hours before each event and breakdown 72 hours after, with an approximate 50-foot distance from the power source to the stage position for planning cam-lock feeder runs.
The vendor must provide all necessary technical personnel for full turnkey production, including a Technical Director/Switcher Operator, camera operators, audio engineer, and streaming technician. The project requires internal quick disconnects with 400A and 200A 3-phase 208V specifications. An addendum note clarifies that December 2026 dates mentioned in the specifications should be disregarded as they were included in error and should have been deleted from the original solicitation documents. Bidders must sign the addendum to acknowledge receipt and inclusion in their proposal response.

Questions & Answers
RFP # 717-26-724
Staging for Commencement
Question 1: The specifications outline audio, video, staging, and streaming requirements; however, lighting is not specifically referenced. Would TSU like proposers to include adequate stage wash lighting to properly illuminate speakers, graduates, choir, and live performers for both in-arena presentation and broadcast quality?
Answer 1: Yes, please include lighting in your offer
Question 2: The bid calls for two 4K cameras with sports lenses (FOH) and two 4K rover cameras.
Should the stationary FOH cameras be placed on risers? If so, are risers to be provided by the vendor?
Answer 2: Yes, cameras should be positioned on risers provided by the vendor.
Question 3: Should the proposal include all necessary technical personnel for a full turnkey production, including but not limited to:
– Technical Director / Switcher Operator
– Camera Operators
– Audio Engineer
– Streaming Technician
Answer 3: Yes
Question 4: Is there a preferred streaming platform TSU would like utilized, or should the vendor provide a complete hosted streaming solution with embed-ready link delivery?
Answer 4: Embedded ready link delivery
Question 5: The specifications reference a rear ramp with railings and an additional center ramp. Can you please confirm whether railings are required for both the rear access ramp and the graduate exit ramp?
Answer 5: Rails should be included on all ramp access points
Question 6: The overview photo appears to show flown drape on motors. Should the 110’ truss with black draping be flown, or is a ground-supported pipe and drape system acceptable so long as it meets the required 20’+ height?
Answer 6: The drape can be ground supported, so long as it meets the reference height
Question 7: The specifications reference internal quick disconnects (400A 3-phase 208V and 200A 3-phase 208V). Can you provide an approximate distance from the power source location to the proposed stage position so we can properly plan cam-lock feeder runs and distribution layout?
Answer 7: Approximately 50 feet
Question 8: December dates?
SETUP/ BREAKDOWN TIME FOR MAY COMMENCEMENT
It is the intent of the University to require setup and breakdown to occur 72 hours before and after each event. For the first event of December 10, setup shall be on December 7 with breakdown immediately after Ceremony, no later than 3 P.M. on December 10, 2026.
Answer 8: This section, with dates in December, should be ignored as it should have been deleted.
