About this file

This is a Bid Form (Attachment A) for IFB 2025-B11 Cemetery Maintenance issued by Hays County, Texas. The solicitation seeks cemetery maintenance services for 14 county-owned cemeteries ranging from 0.09 to 10 acres in size, located in Buda, San Marcos, Kyle, and Dripping Springs. Services are provided upon county request with a maximum frequency of 40 times annually (2 services in January, February, November, and December; 4 services in March through October). The bid form requires contractors to provide per-site pricing for normal maintenance services at each cemetery location, with the total annual cost calculated by multiplying the per-site rate by 40 weeks of maximum service.

Pricing must include all labor, equipment, tools, materials, chemicals, supplies, supervision, and incidentals necessary for normal cemetery maintenance, with bid pricing firm for the entire contract term. The county may request additional maintenance services charged at a per man-hour rate. Price increases may be considered annually if supported by U.S. Department of Labor Consumer Price Index documentation and submitted 45 days prior to the contract anniversary date, subject to county approval. The county reserves the right to award based on lowest price per site and/or best value, and contractors must certify that bids were prepared without collusion. Federal taxes and Texas Limited Sales Excise Tax should not be included as Hays County is tax-exempt.
