About this file

This document is an addendum for Request for Proposal (RFP) 2024-09-001 issued by Central Texas Community Health Center d/b/a CommUnityCare for full-service dental lab services. The addendum responds to questions from respondents regarding the RFP, including acceptable delivery methods, responsibility for shipping charges, required turnaround time for prosthetics, pricing requirements, the number of vendors to be awarded the contract, and the required training for equipment such as model vibrating plates, trimming, vacuum form machines, digital scanners, and 3D printers. CommUnityCare is interested in a free scanner from a lab or labs and the ability to integrate the lab tracking process with their EMR system.

The contract will be awarded to at least two vendors, with the possibility of up to three, to provide full-service dental lab services for CommUnityCare's locations in Travis County and the City of Austin, Texas. Pricing should include the cost of metals, and CommUnityCare is interested in a full list of dental laboratory services for future expansion. The contract term and any renewal options are not specified in the document.

Full Service Dental Lab

Question from Respondents: Responses in RED

1. What methods of delivery are accepted? Preferably in-person delivery via courier, mailing will not exclude a candidate.

1. Is the Respondent responsible for shipping charges? Yes, shipping should be either built into the lab fee, or hand-delivered personally by the lab.

1. What is the required turn-around time for prosthesis? 2-3 weeks turnaround time is reasonable and acceptable (10-14 days).

1. Under Price, it states that you are interested in a full list of dental laboratory services for future expansion of services. Should pricing include the cost of metal? Yes, include the price of metals.

1. Under Goals in Scope of Work it states you are looking for multiple laboratories. How many vendors are you awarding the contract to? At least two labs, possibly 3.

1. Under Deliverables in the scope of work it states: Provide training to RDAs RDHs and Dentists at CUC in collaboration with manufacturers of the equipment to be used in the clinics. What equipment would we have to provide training for? Yes, we are expanding not only our services but want to keep our team members trained on the latest items we deploy. I am looking for a partner to support training of: model vibrating plates, trimming, vacuum form machines, digital scanners (if/when we get one), 3D printers (if we get one). At the very least, support education of how these different pieces of equipment work, the process to create the prosthetics that are made as a result of properly taking the impressions, creating the models, and then what the lab does to create a finished product and key steps to delivering a finished product.

1. Under Attachment B Pricing it states to indicate whether the scanning equipment will be offered to CUC and at what cost. Is the CUC interested in buying equipment? We are interested in a free scanner from a lab or labs that we will send all scans to for prothesis manufacturing. If this cannot happen, we would be interested in how we could partner or purchase a scanner future state.

1. Please elaborate on “Assist CUC with establishing a referral process that will integrate with its EMR system and track the number of cases through the process” Assist in what fashion? As we are becoming more familiar with Epic and our Wisdom module (the dental software module of our HER system, Epic) we don’t know if there is a way to track our lab cases. Ideally the lab tracking is built into the software (example Eaglesoft does this I believe) so we can track, much like a referral, where the labwork is in the process and then once delivered to the patient, we can close out the case. At any rate, we are currently tracking manually. Just wanting to know what labs might be able to assist us with this or if they have a tracking software that can be interfaced with ours to track.
