Statement of Work

DHS/FEMA

Audio/Visual Equipment Warranty Service & Support

1. LOCATION:

1.1. The location of the work is at the Department of Homeland Security (DHS) / Federal

Emergency Management Agency (FEMA) Federal Regional Center (FRC) located at 63 Old Marlboro Rd, Bldg. A., Maynard, MA 01754.

2. DESCRIPTION OF WORK:

2.1. Contractor shall be responsible for warranty maintenance, repair service, supplies, wiring, custom audio/video programming, and firmware updates for audio/visual system equipment and peripherals located at the Federal Regional Center (FRC), 63 Old Marlboro Road, Bldg. A, Maynard, MA 01754. This will be a 3-year hardware warranty and service contract for all applicable equipment used by or for the audio/video system that serves rooms 204, 206-210, and the RRCC feed (heretofore named the System).

o Remote help desk support – 365x24x7.

o Onsite field technician dispatch – Monday – Friday, 8AM to 5PM ET.

o Dispatch within 48 hours of determination that an onsite visit is required.

o Coordinate repair, replacement, and reprogramming of system hardware in accordance with manufacturer warranty or replacement programs.

o Provide access to required firmware updates and upgrades for hardware covered by this contract.

2.2. The contractor shall report any delays in shipment of replacement parts from the supplier, delays in repair, or any situation that will delay completion of System remediation or repair. If a delay is incurred, the contractor shall provide the Contracting Officer’s Representative (COR) with an estimated completion date.

3. PRINCIPLE ELEMENTS

3.1. The contractor shall provide a service report within 7 business days of service. The contractor shall submit a simple written report electronically indicating the status of the

System’s equipment. An acceptable format for reporting will be an email or an attached document within an email.

3.2. The vendor must coordinate with the COR if it is necessary to replace System parts.

4. COMMENCEMENT, PROSECUTION, AND COMPLETION OF WORK

4.1. The contractor shall be required to (a) coordinate scheduling of work with the government to minimize disruption, (b) execute the work diligently.

4.2. Work shall be performed during normal duty hours for Government personnel, 7:00 am to 3:30 pm, Monday through Friday, excluding Federal holidays.

4.3. All waste/garbage created from during an onsite visit is to be disposed of off property by the contractor.

5. SECURITY

5.1. Vendor may be subject to administrative security screening/inspection of their person and of their vehicle(s).

5.2. Vender must supply necessary information to initiate and successfully pass National Crime Information Center (NCIC) background check.

5.3. Vendor must have valid identification to enter facility.

5.4. Must be US Citizen.

6. PERIOD OF PERFORMANCE

6.1. The Period of Performance (POP) will be from 09/01/2022 to 08/31/2025.
