About this file
This document is a Questions and Answers (Q&A) file for Solicitation W81K00-25-Q-A019, addressing two specific vendor inquiries related to a medical testing equipment contract. The first question concerns Quality Control (QC) material quantities, with the government specifying annual requirements for multiple Maine Molecular BioFire control panels and controls, each box containing 6 positive and 6 negative controls. The second question addresses on-site repair capabilities for the Torch system, with the vendor explaining that most module repairs must be completed at the manufacturing facility, and the government agreeing to this standard as long as modules are replaced in a timely manner and on-site support is provided for software updates and minor component repairs like scanner fixes.

QUESTIONS & ANSWERS:
Vendor Questions and the Government Response for Solicitation W81K00-25-Q-A019 - 0001
1. The solicitation mentions QC material. However, these are not manufactured by BioFire Defense. We can order these for you, but they are cold chain so they are not something we keep in inventory, and we would have to arrange for them to be drop shipped by the manufacturer. For an estimate on this, we would need a quantity. Can you please provide a quantity for what you would anticipate needing for QC material?
Government Response: The quantity required for the QC Material is listed below:
M441 - Maine Molecular BioFire RP2.1 control panel, annual QTY - 20 boxes M262 - Maine Molecular BioFire ME controls, Annual QTY - 10 boxes M238 - Maine Molecular BioFire GI control panel, Annual QTY - 20 boxes M416 - Maine Molecular BioFire BCID2 controls, Annual QTY - 10 boxes Each box contains 6X positive controls and 6X negative controls.
2. There are a few references in the terms and conditions for on-site repairs for the instrumentation, however, the Torch system can't really be repaired onsite. It requires a replacement or repair with loaner.
This is how it is now, too, with the instrument that is already in place. There are occasional rarities where something can be done in the field, like we recently replaced some switches in the base or do a software pouch module upgrade... but for the modules especially, there are no repairs that can be done in the field, and they have to be completed in the manufacturing facility. This is standard for the equipment that is already in place right now, so nothing would change... We can still offer PM and replacements or loaners/repairs as requested under our warranty (service coverage). Is it okay if we notate this in our response, as comments within the terms document?
Government Response - The Government have no issues with the current standard of replacement modules, as long as we receive the modules in a timely manner. Please also ensure that there is on-site support to accommodate software updates and to fix smaller components like scanners.
