About this file
This is a job aid document from the Commonwealth of Massachusetts COMMBUYS procurement system that provides step-by-step instructions for vendors on how to withdraw, reopen, and resubmit quotes. The document, dated September 29, 2016, is designed for users with Seller privileges in the COMMBUYS system and explains the process for modifying and resubmitting quotes before the Bid Opening Date deadline. Vendors may need to withdraw and resubmit quotes for reasons including uploading incorrect files, excluding necessary files from the original submission, or adding additional required information. The instruction guide walks users through seven steps: launching COMMBUYS, locating submitted quotes, accessing specific quotes, withdrawing the quote, reopening the quote, modifying quote details through various tabs (General, Items, Questions, and Attachments), and resubmitting the quote with confirmation.
The process allows vendors flexibility to make changes to their quotes at any point prior to the Bid Opening Date. Vendors can modify general quote information such as descriptions, add or remove item information including unit costs, answer buyer questions if required, and upload or remove supporting files and documents. Once modifications are completed and reviewed for compliance with bid requirements, vendors confirm their changes and resubmit the quote through the system. The document emphasizes that only users with Seller credentials can modify quotes and that all changes must be completed before the stated Bid Opening Date deadline.
