About this file
This is a job aid document created by COMMBUYS, Massachusetts' procurement system, providing step-by-step instructions for vendors on how to withdraw, reopen, and resubmit quotes. The document is designed for sellers with vendor privileges who need to modify their submissions before the bid opening date. Vendors may need to withdraw and resubmit quotes for various reasons, including uploading incorrect files, excluding necessary documentation, or adding supplemental information to their bids. The process is available at any time prior to the bid opening deadline, which serves as the final submission deadline for quote responses.
The job aid outlines a seven-step process for quote management within the COMMBUYS platform. Vendors must first log into the system using their seller credentials, then locate and access previously submitted quotes through the Quotes tab or Documents navigation menu. Once accessed, vendors can withdraw their quote, which triggers a confirmation message, and then reopen it for modifications. The reopening allows vendors to revise information across multiple tabs, including general quote details, item specifications and unit costs, buyer questions, and file attachments. After completing all necessary changes and reviewing for bid compliance, vendors submit the modified quote by clicking the Submit Quote button and confirming the action in a dialogue box. This flexible resubmission process enables vendors to correct errors and enhance their proposals without losing their original submission.
