About this file
This is Bid Amendment #1 for Request UWL-1804, a printer maintenance contract issued by the University of Wisconsin-La Crosse. The amendment provides clarifications and answers to bidder questions regarding the scope and requirements of the procurement. The bid due date is June 11, 2018. The University seeks a contractor to provide maintenance services for HP printers not covered under existing state contracts, as well as other devices including Epson and HP wide/large format units and Lanier multifunctional devices. The contractor selected will be responsible for servicing any devices not already covered through existing contracts, including those represented in the device list provided with the bid request.
Regarding pricing and evaluation criteria, bidders have flexibility in their proposal submission methods. For Option #1 proactive monitoring, contractors may submit bids using either a blended cost-per-copy rate for all printer models or individual cost-per-copy rates for each model. Bidders are permitted to submit two separate proposals using both methods if desired, and the University will evaluate all proposals to determine the option that best serves its interests. The amendment clarifies that Lanier devices are not covered under the existing WSCA-NASPO MFD contract, which covers only Canon, Sharp, Konica Minolta, and Ricoh manufacturers. The University's preference is to consolidate maintenance services with a single contractor capable of servicing all devices not covered by existing agreements.

Bid request UWL-1804 Printer Maintenance (HP) Amendment #1
Questions and Answers:
Q: I have a quick question on the due date for the bid. On the cover page and page 11 it states June 11, 2018 and on page 13 it states May 30th. Can you let me know which is the correct date?
A: The bid due date is June 11, 2018.
Q: For Option #1 proactive monitoring – It is not specified if the cost per copy rate is to be a blended rate like it was on the old contract or if it should be bid as individual cost per copy rate based on each model. There are pros and cons for each method. Can you tell me which you are requiring?
A: Any bidders may submit their bid as either a blended rate for all printer models or they may specify a specific rate for each bidder. We will evaluate both methods of proposal. Bidders also have the option of submitting two bids; one done using each method. The University will then evaluate both proposals and award to the proposal that is in the best interest of the University.
Q: There are Epson and HP wide/large format units on the RFB. We typically don’t see those mixed into a bid for these contracts. Did these get added in by mistake not realizing they were these type of devices?
A: The University would prefer that the selected contractor be able to service any devices not already covered through an existing contract, including the Epson and HP wide/large format units.
Q: There are Lanier’s listed on the device list. These are full multifunctional devices that EO Johnson should already have on contract from the State of WI – MFP contract. Were these units added to the device list by mistake?
A: There are four manufacturers represented by the WSCA-NASPO MFD contract: Canon, Sharp, Konica Minolta and Ricoh; the contract is not applicable to Lanier devices. The University would prefer that the selected vendor be able to service any devices not already covered through an existing contract.
