Invitation to Bid Summary
This is an Invitation to Bid (ITB #12-26) issued by the City of Valdosta Purchasing Department for the procurement of one 2026 or newer 3/4 ton regular cab 4x4 truck with XL package. The bid opening is scheduled for Tuesday, December 2, 2025, at 10:10 a.m. EST. The specifications document provides detailed requirements for the truck, including cab features, engine specifications (gasoline, 8-cylinder, 6.8L minimum), transmission (heavy-duty six-speed automatic), electrical components, wheels and tires (17-inch minimum), steering, brakes, color (bright white), and body configuration (fleet side bed, regular box 6.5 feet). The truck must include a diamond-plated toolbox with one-piece lockable lid, heavy-duty towing package (Class IV trailer hitch receiver, 7-pin wiring harness, available for minimum 5,000 lbs.), Line X spray in bed liner with UV protectant, and trailer brake controller. Warranty requirements include 3-year/36,000-mile bumper-to-bumper coverage and 5-year/60,000-mile engine and transmission coverage. Bidders are required to submit build sheets and literature for the specific vehicle being proposed; any bid submitted without product build sheets will be deemed non-compliant. No ASAP (As Soon As Possible) delivery dates are acceptable, and the City reserves the right to accept alternate bids if maximum delivery dates are not met.
All pricing bids must reflect the price effective at the date of delivery with FOB Valdosta, Georgia 31601, and shipping costs must be included in the total price unless otherwise stated in the bid document. The City requests that successful vendors agree to lock in pricing for potential additional units ordered before March 31, 2026, with possible funding from the next fiscal year beginning July 1, 2025, though no guarantee exists until budget approval. Bidders must provide a Non-Collusion Affidavit and a Georgia Security and Immigration Compliance Act Affidavit confirming federal work authorization verification. Federal and state taxes are not applicable to Georgia municipalities under United States Code Title 26. The award of the contract will be made to the lowest responsible bidder considering quality, performance, and specified timeframes, with the final purchase decision made by the Valdosta Mayor and Council if the total item cost exceeds $25,000. Bidders must submit sealed proposals with the bid number clearly marked on the outside of the envelope to the Purchasing Department at P.O. Box 1125, Valdosta, GA 31603, or hand-deliver to 216 E. Central Avenue, 2nd Floor, Valdosta, GA 31601. No bids received after the specified date and time will be considered. Technical questions regarding the truck specifications should be directed to Mr. John Burton at the City of Valdosta Maintenance Center at 229-259-3580.
