About this file
This is a competitive sealed bid solicitation from the City of Valdosta, Georgia Purchasing Department (Bid #10-26) for the procurement of one new 2025 or newer F-350 XL Single-Occupancy (SRW) truck with a standard 6½-foot bed, or comparable equivalent. The bid opening is scheduled for Tuesday, December 2, 2025, at 9:00 a.m. EST at the Purchasing Department located at 216 E. Central Avenue, Second Floor, Valdosta, Georgia 31601. Bidders must submit sealed proposals using the provided proposal form with the bid number clearly marked on the outside envelope, either by mail to P.O. Box 1125 or hand delivery to the physical address. The specifications establish minimum requirements for the vehicle, including cab features (heavy-duty vinyl seating, instrument gauges, up-filter switches), engine specifications (gas, eight-cylinder, minimum 6.8L), transmission (6-speed torque-shift automatic minimum), electrical components (12-volt system with 150-amp alternator), steering and braking systems (power steering, tilt telescopic column, power brakes with anti-lock), white coloring to match existing city fleet, and various miscellaneous features including a 34-gallon fuel capacity, front steel bumper, and Class 5 trailer tow package. The vehicle must be delivered FOB Valdosta, Georgia 31601 by an authorized truck dealer with all dealer prep and body installation completed. The final award decision requires approval from the City of Valdosta Mayor and Council if the item total exceeds $25,000.
Bidders must provide pricing for the truck unit itself, drop ship charges, and complete unit delivery to Valdosta, with all shipping costs included in the total FOB price unless otherwise stated in the bid document. The City reserves the right to accept any or all bids, reject all proposals, accept alternate bids, and waive technicalities in its best interest. Bidders must include complete descriptive literature and manufacturer specifications, with special consideration given to repair parts availability and service accessibility. Two warranty levels are specified as minimum requirements: standard bumper-to-bumper coverage for three years or 36,000 miles and engine, transmission, and transfer case coverage for five years or 60,000 miles. The City would prefer the successful vendor to agree to lock pricing for additional units ordered before July 31, 2026, though no guarantee exists for future funding approval. All bids must be accompanied by a non-collusion affidavit and a Georgia Security and Immigration Compliance Act affidavit with proper E-Verify documentation. Bidders must also complete a company information sheet including E-Verify number, W-9 documentation, and state or federal debarment status verification. No bid received after the specified date and time will be considered acceptable.
