About this file
This document is an attachment providing detailed instructions for setting up a Box account to submit a proposal to NASA for the 10-Kilowatt Closed Brayton Cycle Power Conversion System Prototype solicitation. The instructions outline a step-by-step process for creating a Box account, including: visiting box.com, selecting an individual free account, filling out account registration information, verifying the email address, logging into the account, and emailing NASA RFP Points of Contact to confirm account creation and US person status.
Key requirements include that only US Citizens, Protected Individuals, or Lawful Permanent Residents can share data, individuals must set up two-factor authentication, and view/accept Box terms of service before uploading proposal files. NASA emphasizes that proposals will only be accepted through Box, not via email, and offerors are responsible for resolving any account setup issues promptly. The attachment is part of the Final Request for Proposal (RFP) for a prototype power conversion system, with the solicitation posted on 7/21/2025 by NASA Glenn Research Center.

Attachment F - Instructions for Setting up a Box Account
Directions for Setting up a Box Account for Submitting a Proposal to NASA
1. Individual(s) who will be responsible for submitting the Offeror's proposal must have a Box account. If the individual does not already have an existing Box account, they must complete items a through e below to set up a new Box account. Individuals who already have a Box account should skip to Step 2.
Note: If a message appears that the email address is associated with an existing account, contact your company’s/institution’s/organization’s Box Admin/point of contact to find out the process for signing up.
Note: Only US Citizens, Protected Individuals, or Lawful Permanent Residents can share with NASA via this process.
Note: Screen shots are shared for illustrative purposes only and may look different at later dates or on different devices.
a. Go to https://www.box.com/
b. Click on the Get Started button or Sign-Up button.
c. Click on the Individuals and Teams tab and click the Sign-Up button to set up a free account.
Note: Individuals may pay to upgrade if desired, but it is not necessary in order to share data with
NASA.
d. Fill out and submit the form with the information requested.
e. A verification email will be sent to the email address used to create the account. Click the Verify Email button.
2. Once the Box account is set up, individuals must log into their Box account to confirm its successful creation.
Note: NASA cannot create a folder (for each Offeror to upload its proposal) until the individual logs into the account.
3. Next, individuals shall email the NASA RFP Points of Contact to confirm account creation and provide the NASA RFP Points of Contact with the email address, the full name that was used to create the account and confirm the person is a US Person.
Note: Box does not have an email feature. Individuals must use a separate email application (e.g. Outlook, Gmail) to complete this step. Do not attempt to message the NASA RFP Point of Contact via Box. Email is the only way to contact the NASA RFP Point of Contact.
Note: Individuals who already have an existing Box account still need to email the NASA RFP Points of Contact to confirm account creation and to provide the email address, full name associated with the account, and confirm the person is a US Person.
4. The NASA Contracting Team will then create a folder and share it with the account.
Individual(s) will receive an email invitation to collaborate on a folder.
• Click the link in the email, or log into the Box account where an Action Required notification will appear.
• Set up 2-factor authentication, and view and accept the terms of service before uploading data to share with the NASA RFP Points of Contact.
Click on each button to complete the requirements for sharing data with NASA.
5. Upload proposal files to this folder.
Note: Entire folders cannot be uploaded or dragged and dropped into the shared folder.
Note: Offerors are responsible for familiarizing themselves with any additional technical requirements specific to using Box that may not be enumerated within this solicitation, including but not limited to any information available through Box Support (https://support.box.com/hc/en-us), Box’s Uploads and Downloads support page (https://support.box.com/hc/en-us/sections/21356725415699-Uploads-and-Downloads), and Box’s Troubleshooting Uploads page (https://support.box.com/hc/en-us/articles/360044196773-Troubleshooting)
Note: If you or anyone in your organization encounters a problem with setting up their Box account, contact the NASA RFP Point of Contact immediately so it can be resolved.
Note: As stated in the RFP, proposals will not be accepted via email. Proposals can only be submitted through Box.
