Chippewa National Forest Janitorial services Statement of work

Statement of Work Perform weekly office cleaning at the Chippewa National Forest Supervisors Office compound.

Scope of Services

• The Contractor shall furnish all supervision, labor, and other services as necessary to perform all work

• The Contractor is expected to implement comprehensive hiring and screening standards for their janitorial staff

• All work by the Contractor shall be performed in a professional manner and meet the highest standards of quality and performance

• The Contractor shall provide sufficient personnel to successfully accomplish the work

Work Schedule

• The Contractor shall preform the cleaning service once per week, Monday through Friday except for scheduled Federal holidays and planned office closures (Federal Holiday calendar is attached)

• Work shall commence no earlier than 0730 during the regular work week

• Work shall be completed no later than 1630 during the regular work week

• The Contractor shall establish their work schedule (start and approximate end times) with the Government Technical Monitor prior to the start of each fiscal year

• The Contractor shall communicate any changes made to the established work schedule with the Government Technical Monitor

Facility Location

• The address of the facility is 200 Ash Avenue, Cass Lake, MN

• There are multiple buildings located at this address that require cleaning services

• Floor plans showing all the buildings and areas are attached

Once per Week (preferably every Thursday)

Kitchen (basement and north annex):

• Clean all counter surfaces with a disinfectant cleaner o sinks, table-tops, countertops, and cabinet doors o all exteriors of all kitchen appliances o wall surfaces around kitchen sink, backsplash, and trash cans

• Sweep/Vacuum and mop floors

Restrooms (basement, 1st floor, 2nd floor, north annex and repair shop):

• Clean all surfaces with disinfectant cleaner o sinks and the surrounding areas including backsplashes, countertops, and mirrors o toilet and urinal surfaces o all restroom stall partitions and restroom wall tile o all doorknobs, handles, switch plates, and area round the switch plates o Scrub all stainless-steel sinks and water fountain surfaces with cleanser to remove hard water stains

• Check soap, toilet paper and cloth towels, refill as needed. (leave an extra roll of toilet paper in each bathroom stall)

• Sweep/Vacuum and mop floors

Public and Office areas:

• Clean all surfaces with disinfectant cleaner o all doorknobs, handles, switch plates and area around the switch plates

• Dust o all tables, file cabinets, countertops, bare surfaces of empty desktops, o tops of office partitions

• Vacuum o all carpeted areas on the first, second, and third floor of log building and entry area floor mats o all carpeted areas in the north annex and entry area floor mats o all carpeted areas in the supply room o all carpeted areas in exercise room in repair shop

• Sweep and mop the floors in the front and rear entry areas

Trash/Recyclables:

• Empty all trash containers/wastebaskets in all buildings and place trash into dumpster behind warehouse

• Bring paper recyclables to the recycle container/storage in the south warehouse

Once per Month

• Polish wood surfaces as needed to protect the wood cabinets

• Dust baseboards and windowsills.

• Clean all interior glass windows including glass windows on entry doors

• Vacuum all cloth chair surfaces.

• Wipe clean all vinyl chair surfaces. Spot clean soiled areas of carpet.

Annually

• Wash all garbage contains/wastebaskets on the inside and outside with a cleaner to remove grease and dirt

Equipment and Supplies

• Government is responsible for providing Contractor all consumables, cleaning supplies, and janitorial cleaning equipment and tools to perform the services

• Contractor is responsible for restocking and organizing the cleaning supply closet in the main log building

• Supplies can be obtained from the supply room (outbuilding)

• Contractor will notify the Government Technical Monitor if these supplies require replenishment

Supervision and Quality Control

• The Contractor Representative shall conduct regular inspections of the Contractor’s cleaning staff and shall be responsible for providing adequate supervision to assure competent and satisfactory performance of the services required under this contract

• The Contractor Representative and Government Technical Monitor will jointly inspect the work performed by the Contractor’s staff twice annually (October and April)

• As part of the joint inspection, the Contractor’s performance will be evaluated will include assessing compliance with all terms stated in the contract and the Scope of Services. If deficiencies are found, the Contractor shall immediately remedy the deficiency. If the Contractor is unable, or unwilling, to correct the deficiency this may serve as grounds for terminating the contract.
