About this file
This is a Sources Sought document issued by the 42d Contracting Squadron at Maxwell Air Force Base, Alabama, to conduct market research for annual maintenance support services on two Imaging Business Machines LLC (IBML) ImageTrac 6 Lite high-speed document scanners located at the Air Force Historical Research Agency (AFHRA).
The Government seeks qualified vendors capable of providing post-warranty hardware and software support including telephone and on-site technical assistance with a 4-hour response time (available 13 hours daily, 5 days weekly), Defective Media Retention, and a one-time maintenance reinstatement inspection for both scanners due to lapsed coverage. While IBML has been identified as the only known source for this proprietary equipment support, the Government is soliciting responses to determine if alternative sources exist. Respondents must submit capabilities information addressing whether they can meet requirements with the brand name equipment or as authorized IBML service providers with alternative personnel or methodologies. Non-OEM providers claiming capability must provide detailed technical narratives, current IBML certification verification, and evidence of legal and technical access to proprietary diagnostic software, OEM-certified parts, and firmware updates. Responses are due by 12:00 p.m. Central Daylight Time on May 6, 2026, and should be submitted via email to 1st Lt John Putnam (john.putnam.8@us.af.mil, 334-953-8083) or Mr. Jeremy Kersey (jeremy.kersey.1@us.af.mil, 334-953-3526). This is a pre-solicitation notice; no formal solicitation currently exists, and responses will not result in contract awards. Respondents should not submit competition-sensitive or proprietary information, as portions of responses may be incorporated into future solicitation documents.
