STATEMENT OF WORK
Preventive Maintenance of
Liquid Chromatography-Mass Spectrometry (LCMS) System
BACKGROUND
The Uniformed Services University of the Health Sciences (USU) is the Nation's federal health sciences university and is committed to excellence in military medicine and public health during peace and war. We provide the Nation with health professionals dedicated to career service in the Department of Defense and the United States Public Health Service and with scientists who serve the common good. We serve the uniformed services and the Nation as an outstanding academic health sciences center with a worldwide perspective for education, research, service, and consultation; we are unique in relating these activities to military medicine, disaster medicine, and military medical readiness. USU is located in Bethesda, MD on the grounds of the Naval Support Activity Bethesda.
SCOPE
The Biomedical Instrumentation Center (BIC) in the Office of Research at the Uniformed Services University requires services for preventive maintenance of a Liquid Chromatography-Mass Spectrometry (LCMS) system. Contractor must conduct a preventive maintenance (PM) service visit on the Mass Spectrometer (MS) every six months and an annual PM on the Liquid Chromatography (LC) system. The instruments for maintenance are as follows:
1. SCIEX Q-Trap 4000, s/n AR26031011 (LC)
2. Agilent 1200 Series HPLC System to include (MS):
Binary Pump, model G1312A, s/n DE63061376 Auto Sampler, model G1367B, s/n DE64557460 Column Oven, model G1316A, s/n DE90375304 Solvent Degasser, model G1379B, s/n JP82011069
SERVICES

I. Pre-Preventative Maintenance includes, but not limited to:
1. Check Input Gas Pressures
2. Check Vacuum Pressure
3. Pre-PM Performance Tests:
a. Positive Ion Mode Q1 & Q3
b. Negative Ion Mode Q1 & Q3
c. PPG MS/MS Test
d. Linear Ion Trap (LIT) Test
II. Scheduled Preventative Maintenance includes, but not limited to:
1. Instrument & Roughing Pump Maintenance:
a. Perform Roughing Pump Maintenance
b. Replace Instrument Air Filter
c. Clean Turbo Pump Cooling Fan Screen
d. Check Bench Cooling Fans
e. Clean Curtain Plate
f. Clean Orifice Plate
g. Clean Q0, if necessary
2. Ion Source Maintenance:
a. Perform Maintenance on TurboV Ion Source
b. TIS Temperature Operation Check
c. APCI Temperature Operation Check
III. Post-Scheduled Preventative Maintenance includes, but not limited to:
1. Vacuum Pressure Check
2. Voltage Checks:
a. Check RF Tuning Voltage
b. Check Lens Voltage
c. Check Detector Voltage
3. Post-PM Performance Tests:
a. Positive Ion Mode Q1 & Q3
b. Negative Ion Mode Q1 & Q3
c. PPG MS/MS Test
d. Linear Ion Trap (LIT) Test
Liquid Chromatography (LC) System
I. Pre-Preventative Maintenance includes, but not limited to:
1. Binary Pump G1312A:
a. If requested by customer, confirm pressure stability for both pumps with customer’s column in-line; replace pump if necessary (contact customer before PM to see if the system is undergoing pressure oscillations (saw-tooth).
b. Power off the pump.
c. Remove pump heads.
d. Disassemble the pump heads.
e. Remove and clean pistons.
f. Clean support rings.
g. Replace piston seals.
h. Replace wash seals and gaskets, if the seal wash option is installed.
i. Reassemble the pump heads and install them.
j. Reconnect the Active Inlet Valves to the connectors.
k. Outlet valve: replace seal cap assemblies for outlet valve(s) (if applicable).
l. Note that the latest version of outlet valve uses integrated seals and does not require seal caps.
m. Replace the seal wash peristaltic pump if active seal wash is installed.
n. Power on the module.
o. For standard (PTFE) or PE seals perform the seal wear-in procedure.
p. While running, begin maintenance on the sampler and column compartment. Purge valve: replace the PTFE frit, replace the seal cap assembly if deformed or damaged.
q. If seal wash option is installed: Review the correct installation of seal wash function in non- recycle mode. Manually activate the seal wash and check if there is a flow.
r. Perform the pressure test (Agilent Lab Advisor Software).
s. Perform the leak test (Agilent Lab Advisor Software).
t. Save or print-out results.
u. Reset EMF counters.
2. Autosampler G1367B:
a. Replace the rotor seal: Replace the needle and the needle seat assembly (for all samples except for the G2258A. For the DLA, this only has to be performed, if the needle is bent or needle/needle seat is leaky. Must be billed separately as a repair).
b. Replace the metering seal in the analytical head.
c. Replace the peristaltic pump cartridge.
d. Clean the transport unit rods, using a lint free cloth and isopropanol.
DON'T use any lubricant for the transport unit rods.
e. Purge autosampler and column compartment with isopropanol for 5 min
f. Cap the valve outlet with a blank nut.
g. Perform a (System) Pressure Test
h. Remove the blank nut and reinstall the appropriate capillaries and waste tubes.
3. Column Oven G1316A:
a. If a valve is installed, replace the rotor seal (and stator face if required, see parts section for details).
b. Purge column compartment and valve with isopropanol for 5 min. Then cap outlet of column compartment with blanking nut.
c. Perform a (System) Pressure Test with the limit set according to the max. pressure of the installed valve head.
d. Purge LC system with HPLC grade water for 10 min.
ADDITIONAL REPAIRS
Contractor will be available to assist the end user with troubleshooting problems that arise with instrument operations telephonically or through electronic means and travel on-site to diagnose and resolve problems when necessary at no additional cost.
Base Access
Prior coordination with the POC is required in order to obtain base access.
