About this file
This is a Technical Proposal template for RFP 26-86494 issued by the State of Indiana for hearing aid and assistive listening device procurement. The solicitation requires respondents to provide detailed information across multiple service and product categories, including ear molds, receivers, hearing aids, and assistive listening devices, with all available styles and corresponding warranty timeframes specified for each product category. Respondents must demonstrate creative cost-saving solutions and describe their online ordering capabilities, product update processes, and commitment to updating list pricing at least every six months. The State requires two distinct monthly spend reports within ten working days of billing period closure, capturing specific usage metrics by state agency, order number, invoice number, manufacturer, description, quantity, pricing, and contracted discount rates.
The proposal instructions mandate that respondents address reporting capabilities in detail, including whether reports will be generated through automated systems or manually prepared, and provide sample reporting as exhibits. Respondents must describe electronic tracking systems for both support inquiries and order status, detail their billing methods, and identify a dedicated account management team with a single point of contact for customer service issues. Additional requirements include describing escalation processes, service quality metrics and customer feedback mechanisms, yearly training programs, and compliance with the State's Information Security Framework regarding data encryption, physical and logical security measures, data center certifications, and client data isolation schemes. Respondents must also disclose any use of artificial intelligence tools in proposal development and confirm understanding of Independent Verification and Validation requirements defined in the Scope of Work.
