1 data, samples or similar submittals unless the Subcontractor has specifically informed the 2 Contractor in writing of such deviation at the time of submittal and the Contractor has 3 given written approval for the specific deviation as a minor change in the work. The 4 Subcontractor shall not be relieved of responsibility for errors or omissions in the shop 5 drawings, product data, samples or other submittals by the Contractors authorization to 6 proceed with the work.
8 Review by the Contractor is subject to the limitations stated in the following:
10 1. Review of submittals is not conducted for the purpose of determining the 11 accuracy and completeness of other details such as dimensions and quantities, or 12 for substantiating instructions for installation or performance of equipment or 13 systems, all of which remain the responsibility of the Subcontractor as required 14 by the Contract Documents.
16 2. The Subcontractor shall review data, drawings, and other submittals for 17 compliance with the Contract Documents, mark them “approved” and submit 18 them. Submittals that are not marked as reviewed for compliance with the 19 Contract Documents and approved by the Subcontractor may be returned by the 20 Contractor without action. If the Contractor determines the Subcontractor’s 21 submittal to be incomplete or unacceptable, the Subcontractor shall make a 22 complete and acceptable submittal to the Contractor by the second submission of 23 a submittal item.
25 3. The Subcontractor shall be responsible for providing submittals in accordance 26 with the Vendor Data Schedule and these specifications, providing submittals 27 with adequate time for review and re-submittal, and advising the Contractor of 28 any submittal that may be delayed and which might, if further delayed, extend 29 completion of the project.
31 B. Procedures:
32 1. General Procedures: Vendor data, whether prepared by the Subcontractor or 33 Subcontractor’s subtier or supplier, shall be submitted as instruments of the 34 Subcontractor. Therefore, prior to submittal, the Subcontractor shall ascertain 35 that material and equipment covered by the submittal and the contents of the 36 submittal itself, meet all the requirements of the Contract specifications, 37 drawings, or other contract documents. The submittal shall be stamped approved 38 prior to submittal as stated in the summary paragraph above.
40 a. Each submittal shall contain identification for each separable and separate 41 piece of material or equipment, and literature with respect to the information 42 provided in the specification and on the Vendor Data Schedule. Submittals 43 shall be numbered consecutively for each different submittal.
44 2. Vendor Data Schedule: Vendor data required by the specification sections or the 45 drawings to support design, construction, and operation of the project is 46 identified on a Vendor Data Schedule. The Vendor Data Schedule provides a 47 tabular listing by item number, drawing or specification reference, and 48 description of the item or service. The type of submittal is identified by a

1 “Vendor Data Code,” and the time required to submit the item is identified by a 2 “When to Submit” code. An “Approval” code specifies whether the submittal is 3 for Mandatory Approval or for Information Only. One copy of routine paper or 4 electronic file submittals is required; additional copies may be required by the 5 Vendor Data Schedule. Electronic file submittals are preferred. Submittals that 6 cannot be scanned or provided electronically, such as large shop drawings, will 7 require 6 copies for Mandatory Approval and 4 copies for Information Only.
8 Material or color samples will require 2 sets for Mandatory Approval and 1 set 9 for Information Only.
11 3. Vendor Data Transmittal and Disposition Form 431.13: All vendor data shall be 12 submitted to the Contractor using the Vendor Data Transmittal and Disposition 13 Form. The form provides the Subcontractor a method to submit vendor data and 14 provides the Contractor a means of dispositioning the submittal. The 15 Subcontractor shall list the Vendor Data Schedule item number, a Vendor Data 16 Transmittal tracking number (if applicable), the drawing or specification number 17 reference, a Tag Number (if applicable), the submittal status (e.g., Mandatory 18 Approval, Information Only, Re-submittal, or Or-equal), the Revision Level, and 19 the item description. The description shall include the heat or lot number for 20 items requiring Certified Mill Test Reports. The description should be complete 21 enough that a person unfamiliar with the project can determine what the 22 submittal includes.
24 4. Disposition by the Contractor: The Contractor’s comments and required action 25 by the Subcontractor will be indicated by a disposition code on the submittal. The 26 disposition codes will be classed as follows:
28 a. “A” “Work May Proceed.” Submittals so noted will generally be classed as 29 data that appears to be satisfactory without corrections subject to the 30 limitations described in the summary section above.
31 b. “B” “Work May Proceed with Comments Incorporated. Revise Affected 32 Sections and Resubmit Entire Submittal.” This category will cover data that, 33 with the correction of comments noted or marked on the submittal, appear to 34 be satisfactory and require no further review by the Contractor prior to 35 construction, subject to the limitations described in the summary section 36 above.
37 c. “C” “Work May NOT Proceed. Revise and Resubmit.” Submittals so 38 dispositioned will require a corrected resubmittal for one of the following 39 reasons:
40 1). Submittal requires corrections, per comments, prior to final review.
41 2). Submittal data incomplete and requires more detailed information prior 42 to final review.
43 3). Submittal data does not meet Contract document requirements.
44 d. “D” “Accepted for Use. Information Only Submittal.” Submittals so 45 dispositioned will generally be classified as Information Only for 46 as-specified material and equipment.
