About this file

This document is a Request for Proposal (RFP) issued by Auburn University for a Promotional Apparel Preferred Vendor contract. The university seeks to establish non-exclusive relationships with up to 20 promotional apparel suppliers to provide apparel for campus units using Chart A university funds. The initial contract term is three years with two potential one-year renewals, and proposals are due by 10:30 AM CDT on an unspecified date. Selected suppliers will be listed on the university's licensing website and will be required to participate in annual business review meetings, attend licensee training, and purchase a booth at the annual vendor fair. Suppliers must be licensed through the Collegiate Licensing Company (CLC) and comply with Auburn University's trademark and branding policies.

The RFP includes a comprehensive evaluation process with specific requirements across 13 sections, covering company details, product offerings, decoration capabilities, artwork services, sales and marketing strategies, licensing capabilities, financial considerations, logistics, labor practices, and references. Each section will be weighted in the evaluation, with sections on additional considerations, sales and marketing, and financial considerations receiving the highest percentages. Suppliers must carry a minimum of $1 million in general product liability insurance, demonstrate ability to serve university departments, and pay an annual licensing rights fee of $5,000. Auburn University does not guarantee minimum yearly spend but notes that departments and organizations have spent approximately $12.1 million on promotional products and apparel over the previous four years.

Auburn University Request for Proposal

Promotional Apparel Preferred Vendor

TABLE OF CONTENTS

Section I Request for Proposal

Section II Instructions to Proposers

Section III Form of Proposal

Section IV Evaluation Criteria

Section I. Request for Proposal A. Intent and Scope for the Auburn University Promotional Apparel Preferred Vendor Contract Auburn University is seeking sealed proposals from qualified suppliers providers to established non-exclusive preferred relationships with no more than Twenty (20) Promotional Apparel Suppliers to provide promotional apparel to university campus units using Chart A university funds.

AU currently maintains relationships with approximately 500 licensees that produce a wide range of products to help promote the University's brand. Auburn University's Office of Trademark Management & Licensing oversees the external use of Auburn's brand, including approving all products available at retail outlets or purchased for internal or external promotional purposes. While the suppliers that are ultimately selected will be considered preferred and listed as Promotional Apparel Suppliers on our website (licensing.auburn.edu), we reserve the right to refer internal campus groups to companies that hold retail licenses with Auburn in special situations. Auburn University also reserves the right to go outside of this list of preferred suppliers for large projects that require bids and specialized products.

As some products purchased through this program are non-royalty bearing, the Office of Trademark Management & Licensing will require quarterly reporting for all ICS licensees via CLC and separate Auburn reporting. The selected licensees will be awarded preferred Promotional Apparel Supplier status for a term of three years with the opportunity for two one-year rollovers. However, suppliers/licensees will be subject to an annual review and may be subject to cancellation if performance is poor. Promotional Apparel Suppliers may NOT sell to retail outlets unless separately licensed for those channels through the University’s licensing agency.

Any department or organization wishing to order an Apparel item with Auburn University (Chart A) funds will be required to obtain three (3) quotes from the preferred Promotional Apparel Suppliers unless the preferred supplier has a nationally cooperative contract that has been competitively bid. AU’s Office of Trademark Management & Licensing will provide a web-based form to streamline this process. Quotes may be requested for an entire order/project, not necessarily by individual product, and are valid for 12 months. Reorders may be placed at the same quoted price without requesting new quotes.

6. Submit quarterly and annual review documents to maintain the license for the full three – five (3-5) year term.

· CLC Requirements:

· To be considered for this preferred relationship, a company must be licensed as an Internal Campus Supplier (ICS) through the University's licensing agent, the Collegiate Licensing Company (CLC), or be willing to complete the licensing requirements of Auburn University and the CLC prior to accepting orders or being included on the preferred list.

· All companies should have completed the licensing process no more than 60 days after the award. Visit CLC.com to see the application requirements and approximate costs for licensure.

· Auburn University makes no guarantee of any minimum yearly spend requirements or commitments to any of the selected contractors – some will sell more than others over the program term. However, over the previous four years (July 1, 2021-February 2025), Auburn University departments, student organizations and other groups have spent approximately $12.1 million dollars on promotional products and apparel (Promotional products RFP will be issued separately), some of which are royalty bearing while others are exempt as detailed in the following pages. Please note that this RFP is only for preferred suppliers servicing campus units spending Chart A university funds. Other suppliers may be identified and made available to student organizations, affiliate groups and campus units paying with other funds.

· Auburn University will assess a licensing rights fee of $5,000 per supplier annually. Companies also awarded promotional products rights for campus in the separate RFP will be assessed an additional licensing rights fee.
