About this file

This is Amendment #1 to a Request for Bids issued by the University of Wisconsin-Madison for Patient Simulators, Virtual Reality Trainers, Simulation Management System(s), and Skill Trainers under solicitation #2024-UWMSN-00493-RFB. The amendment addresses seven vendor questions and answers regarding simulator specifications, contract benefits, pricing structures, submission requirements, and portal procedures. The University clarified that product specifications are detailed in Section 1.1 of the Terms and Requirements Attachment, that contract awards will be published on VendorNet to eligible purchasers across UW-Madison and other participating campuses, and that no official webinars are currently planned. The amendment extended the bid submission deadline to January 29, 2024, at 2:00 PM CST to allow vendors additional time to respond to the questions provided. All submissions must be completed through the Sourcing Event Module in ShopUW+.

Regarding pricing and submission requirements, the amendment clarifies that annual price increases may be negotiated with awarded vendors rather than maintaining fixed pricing throughout the initial contract term. Pricelists must be submitted as separate, electronic, searchable files and may apply uniform discounts across all products without requiring differentiation by product category. The amendment confirms that all bid submissions must be entered online through the ShopUW+ platform rather than submitted via email, with inquiries directed to Dilya Bouriakov at dilya.bouriakov@wisc.edu. The contract will provide eligible purchasers the ability to place orders with awarded vendors without requiring additional competitive procurement processes for the duration of the contract term.

AMENDMENT #1 for

UW-MADISON RFB # 2024-UWMSN-00493-RFB

QUESTIONS AND ANSWERS

Q1.What kind of simulators/trainers are you looking for?
A1.Please refer to Section 1.1 of the Terms and Requirements Attachment.

Q2. If we are awarded a contract, what are the available benefits? Can we get a list of schools in the network with contact information? Are there any marketing benefits associated with the contract? For example, can we be part of an official webinar sessions?

A2a. For the term of the contract, the users of the contract (UW-Madison, other campuses, etc. - whoever is included as eligible purchasers) are able to place orders with contract vendors for anything (products/services) without having to go through a competitive process.

A2b.No, this information would only be disclosed after awards have been issued.
A2c.Yes, terms of any contract would be published on VendorNet showing the manufacturers and product and service categories covered by the awarded Contractor.
A2d.There are no official webinars planned at this time.

Q3. Will the University consider allowing annual price increases during the initial term of the contract, rather than maintaining fixed pricing?

A3. This may be negotiated with the awarded vendor.

Q4.Should the submission of our pricelist be a separate excel file or should I just create a new tab within the existing Attachment B to keep everything together and easily accessible?
A4.Pricelists submitted must be in a separate, electronic, searchable format.
Q5.We are bidding with a discount on all products on the pricelist, without variation in category. Do we still need to differentiate the items by product category? Or will the pricelist suffice?
A5.Pricelist is sufficient.
Q6.Are we required to submit through the SciQuest portal, or can we email you the submission?
A6.As noted in the “DESCRIPTION” tab of the Sourcing Event, all submissions must be completed in the Sourcing Event Module in ShopUW+. Please review this tab of the event for the specific language and instructions.
Q7.Will questions submitted through the portal be answered soon? We have been holding off on starting our response until those questions are answered, so would the University consider extending the due date, if only for a few days?
A7.This Amendment #1 provides the answers to all submitted vendor questions and extends the due date to 1/29/2024 at 2pm CST.
