Canyon Rim Overlook Prebid Meeting

8/14/14

Attendees:

1. Scott went over the contract drawings and requirements, bid due date, section C and price range. Important items discussed included:

a. Camping will be allowed onsite after written approval from the CO.

b. Staging of materials will be allowed in the trailhead parking area located just NW of the campground gate.

c. The Contractor will be allowed to use the FS restrooms onsite and not need to provide a porta potty.

d. No electricity is available onsite.

e. Water is currently available onsite but will be turned off based on the weather. Usually this happens early to mid. October but is based on cold weather. The water system is not designed for winter use.

f. The contractor needs to pay attention to Section M of the solicitation and their bid needs to address the evaluation criteria in Section M.

g. There is a base bid which includes the deck replacement and an optional bid item that includes the railing and rock wall on the path leading to the deck and the bench on the path to the deck. The contractor is required to give us a bid on the optional item but we are not required to award the option.

2. Questions brought up:

a. Are the 3x8 decking members nominal dimensions? Answer: Yes the 3x8 is nominal so the actual will be 2 ½” x 7 ¼” members.

b. Is the contractor required to repaint all of the existing railing that is on the path leading up to the deck? Answer: No. That is not part of the contract. The contractor will only be required to repaint the railing on the deck (and small section of stairs leading to the deck) and paint the new railing they will install as part of Option #1.

c. Do all of the holes in the lumber need to be predrilled? Answer: Sheet S1 states that “All field drilling of holes shall not be allowed unless otherwise noted on the drawings”. After speaking with the designer we will allow field drilling of holes onsite. However, the holes must be predrilled with a pilot hole of smaller size and the contractor shall ensure that the holes are drilled precisely to ensure new holes or larger holes are not drilled due to errors. Also, holes shall be poured full of preservative prior to inserting the fasteners.
