About this file
This document is a pre-bid meeting summary for RFP 10-2025-021 (ERATE 470 No. 250010941) for additional wireless cabling services in Bartow County, Georgia. The project involves installing and relocating network drops for wireless access points across 20 school locations, with the goal of having wireless access points in every classroom instead of every other classroom. The project timeline runs from April 1, 2025, to the end of July 2025 (preferably mid-July), with proposal opening scheduled for February 5, 2024. Work hours are typically 7:30 a.m. to 4:00 p.m., with flexibility for alternative schedules, and vendors must be prepared to work around students present from April through late May 2025.
The project requires vendors to provide per-drop pricing, as the total number of new drops and drop moves is an estimate and may be adjusted downward. The work includes primarily copper cabling installations, with one fiber run of approximately 500 feet at Cass Middle School. Technical specifications include the use of NEMA20 PDUs, proper cable labeling, and color coding requirements as detailed in the RFP. All bidders must include their SPIN number in their bid or face disqualification, indicating this is an E-Rate funded project. The work involves using existing cable supports, and all locations are accessible using 10-12 foot ladders, with no scissor lifts required.

Additional Wireless Cabling
RFP 10-2025-021 ERATE 470 No. 250010941
Mandatory Pre-Bid Meeting January 7, 2025 9:00 a.m.
Below is the information that was covered during the pre-bid meeting.
Agenda
General description of the project – Explained the project which is detailed in the RFP
Current situation – Explained that we have wireless access points in every other classroom and want to move to having one in every classroom. To accomplish this, we will be using some existing drops previously used for other systems and new drops that we are asking to be installed. The existing drops will need to be moved from the walls in the rooms to the ceiling toward the center of the room.
Location needs to route to – Explained that drops will for the most part route back to the closest MDF or IDF but there are some exceptions to this.
Sample Maps – Adairsville High, Adairsville Middle and Adairsville Elementary – Michael displayed the maps for these schools and explained that the red Xs are the locations where drops either need to be moved or added.
Access to Maps – We explained that we will send a link to email addresses shared on the sign in sheets that will give meeting attendees access to the maps for all locations.
Timing for project – We explained the expected timing of the project.
We will open proposals 2/5/2024 to grade, decide and make our recommendation for Board approval.
The project can start April 1, 2025 and we need it to finish by the end of July 2025, preferably mid July 2025.
7:30 a.m. – 4:00 p.m. are normal business hours. We explained that we can work with the vendor if they want to work other hours. We also mentioned that students will be present April 1, 2025 – late May 2025 and the vendor would need to be prepared to work around students. Some students may be in the building during the summer also.

It was pointed out that Cass Middle School does need one fiber run. The fiber run needs to be run according to RFP details. The ESTIMATE of how long the fiber run will be is 500 feet.
All other cabling for this project is copper.
Are the schools regular dropped ceiling? Yes. However, there may be some exceptions in bathrooms and special areas. If we run into an area like this, we will work with the vendor for a solution.
How should wall penetration be handled? We do not expect there to be a need for this with this project. If a need for this arises, we will work with the vendor to develop a solution.
In discussion about the sample maps that was shown, we explained that we do have a specific list of rooms that drops need to be installed or moved. This list will be provided to the winning bid vendor.
Will cable supports need to be supplied? No, existing supports can be used.
Color coding of drops and cabling is covered in the RFP. For existing drops that are moved, only the parts that are replaced need to follow the RFP color coding. Existing parts that are not swapped out can remain whatever their current color is.
Drops that are moved should be toned, tested and labeled according to the RFP details.
All IDFs currently exist except one. An IDF needs to be added at EES in Storage Room 233 as indicated on the map. This IDF should be a Hubbel RE2 enclose or similar.
Drops that are moved hopefully have service loops that afford the extra cable needed. If not, a biscuit box with patch cable can be used.
An ESTIMATE of 15-20 feet was given for the expected move distance for drops that need to be moved.
Is it ok to run the drops to the nearest MDF/IDF even if that is not how current drops are run? Yes, as long as drops are labeled with MDF/IDF etc.
Is it ok to use Velcro for cable dressing? Yes, Velcro or zip ties.
All boxes that drops are moved from should be covered with a blank plate according to details in the RFP.
Are PDUs required to be NEMA20 or can they be NEMA15? NEMA20 per the details in the
RFP.
Attendees were reminded that they must include their SPIN number in their bid. If SPIN numbers are not included, bids will be disqualified.
In the RFP details, a quantity is given for New Drops and Additional New Drops. The total of both quantities should be quoted. ULTIMATELY A BASE PER DROP PRICE IS WHAT WE ARE LOOKING FOR. The number of new drops and drop moves is an ESTIMATE. We need the ability to reduce the chargeable amount for drops not needed.
Will these drop locations all be accessible by either a 10ft or 12ft ladder? Are there any locations that would require a scissor lift to reach? All locations are accessible by either a 10ft or 12ft ladder.
