About this file

This is Addendum One to an Invitation for Bid (IFB #050322EC) issued by the Georgia World Congress Center Authority Purchasing Office for meeting room chair replacement. The addendum clarifies specifications and requirements for the procurement of approximately 3,600 chairs. The Authority seeks the Encore Series Square Open chair style or equivalent, with a Pewter Sand powder coat finish. Delivery is required in early July 2022, with an anticipated purchase date also in early July 2022. Bidders must submit hard copy bids only; email submissions are not accepted. The Authority will accept sample chairs from existing warehouse inventory for quality evaluation; new samples requiring approximately four weeks to produce are also acceptable. Bidding requirements specify 15 chair dollies with wire ganging capability and high-capacity stacking carts that hold up to 80 chairs and can be stacked two high. Base Bid C has been removed from the bid package. A signed acknowledgement of the addendum must be received prior to the bid due date or attached to the proposal.

The addendum addresses multiple technical and logistical clarifications, including confirmation that the freight company bears responsibility for dock-to-dock offloading at destination. Weight capacity standards must meet or exceed all applicable tests for ANSI/BIFMA standards. The Authority will not offer prepayment options for raw goods purchasing. Plating finishes are noted as superior in durability compared to powder coating and are not considered equivalent alternatives. The reference image chair is not currently in use at the facility, and the Authority is not seeking custom modifications or quality upgrades beyond standard specifications. Previous orders for similar furniture through Mity-Lite in Savannah are referenced as context for material and finish expectations.

ADDENDUM ONE

GEORGIA WORLD CONGRESS CENTER AUTHORITY

MEETING ROOM CHAIR REPLACEMENT

IFB#050322EC

Addendum Issue Date: May 11, 2022

From: Georgia World Congress Center Authority

Purchasing Office

285 International Boulevard NW

Atlanta, Georgia 30313

Addendum 1 is hereby issued to incorporate the following as requirements of the

Invitation for Bid, 050322EC:

• Is the Georgia World Congress Center Authority open to prepayment options to help with the purchasing of raw goods? No

• Is freight dock to dock, where the customer is responsible for offloading? The freight company will be responsible for offloading.

• Is there an anticipated purchase date? Early July 2022

• Is there a specific delivery date needed? Early July 2022

• Can we send bids via email, as we have experienced past delays? No, bids must be received in hard copy form.

• Omega 584 is listed as a chair option, but doesn’t match up with the specifications listed, please advise? Omega should not be listed as an option – the Encore Series

Square Open or equivalent is the requested chair style

• Number of dollies and stacking carts needed, as this can be different per customers available staffing and storage space? Each of our dollies can transport up to 10 chairs at a time and our High Capacity Stacking Carts will hold up to 80 chairs and can be stacked two high. 15 chair dollies

• - Are welded wire gangers, stack bar gangers, or retractable gangers preferred?

Wire ganging; stack bar added

• - There is no place holder on the Bid Form to allow for Base Bid C. Where would you like Base Bid C to be placed? Base bid C has been removed from the bid package.

• -What methodology/testing is used for determining 1,000 lb weight capacity as

BIFMA does not have a weight capacity standard? Weight limits should meet or exceed all applicable tests for ANSI/BIFMA.

• -In Section M, you request samples in Brushed Nickel but do not include it in the specs. Plating is far superior in durability than powder coating and would not be considered equivalents. Correction – samples of proposed chairs in Pewter Sand or Equivalent.

-The specified finish is currently a powdercoat. Which finish should be included?

Pewter sand or equivalent.

• Question 1: Sampling

-will you accept a sample for chair quality only? Yes We have samples in our warehouse to show for quality and construction

-new samples take approximately 4 weeks…would that be acceptable? Yes

• Question 2: Reference Image

-is the chair in the reference image currently being used in the property? If so are you looking for a custom chair to closely match original? No, the reference chair is not currently in use at the GWCC.

-are you looking for us to add upgrades to the chair quality? This will require some additional latitude on design N/A

• I noticed on the new bid for 3600 chairs that a Culp Fandago Fabric and a specific powder coat color were listed. I assumed that those were the colors that was provided on the Savannah chairs that Mity-Lite provided on the last order in

Savannah. If that is the case we can match both of those. Correction, frame color is pewter sand or equivalent.

This addendum will be a part of IFB #050322EC and modifies the original bid documents dated May 11, 2022 as noted.

NOTE: A signed acknowledgement of this addendum should be received by this office prior to the due date or should be attached to your proposal. A signature on this addendum does not constitute your signature on the original proposal document.
