About this file

This is Addendum 4 to the Invitation for Bid No. 27-01-02 issued by the Medford School District Purchasing Department for the NMHS Auditorium Beam Repairs project, dated October 14, 2026. The project involves structural retrofit work on long-span wood trusses in the auditorium at North Medford High School, specifically strengthening existing glulam beam chords and solid sawn web members to meet current code-level snow load demands. The addendum clarifies that no additional structural details beyond the as-built and bid-set drawings dated May 17, 2010 are available for contractor review. Key project clarifications address electrical scope limitations, temporary plywood placement requirements, crane access coordination through gates on the fine arts building's northeast/east side, and scaffolding/shoring specifications for floor and stage areas.

The addendum confirms that all temporary means and methods items, including plywood access platforms, must be removed upon project completion unless specifically approved by the owner. Scaffolding and shoring posts may be supported on the existing slab on grade with appropriate blocking and bearing pads to protect existing flooring, with post locations and maximum loading estimates to be submitted as delegated design for engineer review. The contractor is responsible for coordinating electrical raceway removal and replacement or requesting an allowance, and for providing all engineering, architectural work, and restoration of non-structural items including draft curtains and firewalls through the submittal process. Contractor and owner must coordinate roof access logistics, particularly regarding the reinforced composition of proposed crane access routes.

ADDENDUM 4

Project: NMHS Auditorium Beam Repairs Date: October 14, 2026

Invitation for Bid No: 27-01-02

Instructions to Prospective Bidders:

This Addendum forms a part of the Contract Documents and modifies the original Bidding Documents and/or prior Addenda as noted below. All conditions, requirements, materials and workmanship are to be as described in the Contract Documents unless specifically stated otherwise. This Addendum consists of two (2) pages.

Important Notes:

In Addendum #3, question and answer #2, MSD stated that there would be additional structural details available. There are not any additional structural details available. The as-builts and bid-set drawings are the only historical drawings MSD has.

Questions and Answers:

Q1: The electrical as-built drawings that were provided do not provide enough information to bid the electrical scope of work. Please provide electrical drawings that pertain to the work area. If drawings are not available, it is recommended that the district takes on the removal and replacement of electrical raceways needing to be removed and reinstalled or provide an allowance.

A1: The as-builts and bid-set drawings dated 5/17/2010, that were sent out previously, are the only drawings available. If you would like to access them, email pam.thoren@medford.k12.or.us.

Q2: Plywood will need to be placed over joists to access features of work around each truss.

Does the plywood need to be removed at the end of the job, or can it stay in place?

A2: All means and methods items should be removed after completion of work, unless approved by the owner.

Q3: Where will we be able to access the roof with a crane from? A suggestion would be to have access through a set of gates on the outside of the fine arts building. It appears that that a boom truck, or crane could drive through the gates and hoist material on to the roof on the NE/E side of the building. Is this reinforced concrete or just sidewalk?

A3: Contractor/Owner to coordinate.

Q4: Are there any restrictions or special requirements regarding scaffold or shoring bearing on the auditorium floor, stage or seating areas?

A4: Scaffolding/shoring posts can be supported by the existing slab on grade. The scaffolding/shoring contractor to provide the appropriate blocking bearing pads as required to protect the existing flooring. KPFF recommends the scaffolding/shoring post locations and estimated max loading be submitted as a delegated design for review.

Q5: Please clarify whether an approved assembly/detail will be provided by the design team for the removal and replacement of draft curtains, or will the contractor be required to provide the re-design of the draft curtains?

A5: This was defined in Addendum #1 as shown in below excerpt:

• Do draft curtains need to be removed and reframed where the existing conditions of trusses are currently up against draft curtains? If so, please provide a detail.

• Contractor to coordinate and provide the replacement of non-structural items (including any required engineering and architectural work) for the truss retrofit. This will include restoration of draft curtains/firewalls via the submittal process.
