About this file

This addendum documents Haywood Community College's responses to 86 vendor questions submitted regarding Solicitation #101-HCC2026-04 for Janitorial and Custodial Services bookstore management. The solicitation solicits offers for comprehensive onsite and online bookstore management services, including course materials sales (new, used, rental, and digital formats), general merchandise, and specialized services. The college issued this addendum on January 14, 2026, in response to vendor inquiries, with the solicitation opening scheduled for January 23, 2026, at 2:00 PM. The contract will commence on July 1, 2026, for an initial three-year term. Key operational requirements include maintaining a physical campus presence with two bookstore locations (Central Campus and Levine Campus), integrating with the college's Ellucian Colleague R18 SIS and Moodle LMS, facilitating financial aid access through FA Link, and providing Day 1 content delivery capabilities. The college does not currently offer an Equitable Access or all-inclusive access program but is open to vendors proposing such models on a per-credit-hour basis.

Regarding operational structure, the college will retain ownership of all bookstore fixtures and facilities, with the vendor responsible for providing internet and email services. The college identified three top priorities: customer service, student support, and seamless integration with the institution. Haywood Community College does not track historical sales data, textbook adoptions, or enrollment information due to third-party bookstore operations management, but has provided enrollment data, FTE projections, and floor plans in attachments. The vendor must accept financial aid and third-party sponsorship billing as payment methods and provide employee discounts (minimum 10%), departmental purchase discounts (minimum 20%), and annual scholarships. The vendor selection committee includes nine administrators representing workforce, instruction, technology, student services, and business operations. The college will retain current employees subject to vendor discretion within RFP guidelines, and the target contract start date is July 1, 2026.
