About this file

This document is an Addendum #1 to RFP-23064 COMPREHENSIVE PRE-K CURRICULUM issued by Baltimore City Public Schools. The addendum provides clarifications and updates to the solicitation, including that vendors should only submit 1 complete pre-k curriculum kit for review, with all materials and resources included. The video submission can be a shorter 2.31-minute format, and the pricing should include all-inclusive year 1 costs as well as any continuing costs for years 2 and 3. The technical proposals and financial documents are due by 11 a.m. on Friday, December 8, 2023, and the physical curriculum kit samples should be delivered by 3 p.m. on December 15, 2023 to the specified address.

Regarding pricing, the addendum states that vendors can include bundle pricing options, and should indicate any such pricing separately on the required cost spreadsheet. The procurement is for a 4-year-old pre-k curriculum, and vendors are not required to submit correlations for 3 or 5-year-old age groups. An extension to the due date will not be granted.

Addendum #1 to

RFP-23064

COMPREHENSIVE PRE-K CURRICULUM

The following changes, additions, deletions, and clarifications are hereby made part of the solicitation for the above referenced project and shall be taken into account in the preparation of the solicitation response and execution of all work. Vendors shall acknowledge receipt of this addendum.

SOLICITATION CLARIFICATIONS:

1. At the end of the meeting, there was discussion about a three-year-old kit as well as 4-year-old kit. We have a preschool kit (4-5) and an infant-toddler Kit (0-3). Should I send 5 kits of each and include the Infant-toddler kit information in the technical proposal or just send the Prek kit and include PreK info in technical proposal?

RESPONSE: You should only send the pre-k kit.

2. Will the review committee be looking at a Spanish Pre-K Curriculum as well?

RESPONSE: No, however, the English curriculum should provide scaffolds, differentiation, accommodations, etc. to enable English language learners.

3. On page 8, there is a comprehensive list of what should be included for review for the school district; however, during today's meeting, it was apparently made clear that the district did not want to be inundated with an excessive amount of kits. The product we intend to bid includes 9 different sections of kits which are apparently rather bulky, and if we were to adhere to the requirements stated, we would need to send along 45 sections in total (9 x 5 complete classroom kits). I was wondering if you could provide some clarification on how you would like us to address this potential issue?

RESPONSE: Please send 1 complete kit, with all materials and resources included.

4. Do we need to submit the 5-8 video along with our Technical and Cost proposal due on the 12/8, or can/should that be sent at a later date along with the kits and other items for review?

RESPONSE: Please send the video no later than COB on 12/15/23 via email to Suzanne

Addington, saddington@bcps.k12.md.us.

5. We offer bundle pricing which is advantageous for the district. Are we able to include this pricing and, if so, how shall we include this on the required Cost Spreadsheet?

RESPONSE: Indicate the bundle pricing in column E and provide clarification of the pricing in column F.

Rev: 03/09/2023

6. We are currently finishing up a copyright update for a program we would like to submit.

The copyright will be ©2025, and will be available for sale in early (Jan-Feb) 2024. Are we able to submit this program even though it is not yet in its final form at the time of submission?

RESPONSE: Yes, however if you choose to do so, please indicate a high-level overview of updates as the materials the committee will review will reflect the previous version.

7. Page 8 lists all of the items you are requesting for review. Are all of these items to be included with the required print samples/kits as hardcopy responses, or shall they be included only in the Technical proposal? For example, the lists that are required (training, tradebooks, etc…) – shall these be delivered with the samples or via the electronic

Technical proposal?

RESPONSE: Please include all items in hardcopy form (1 complete curriculum kit).

Items requested in list form should also be included in the technical proposal.

8. On the pre-proposal call, it was indicated this RFP is for 4-year old curriculum and in the near future you plan to release RFPs for 3 and 5-year olds. Shall vendors only include correlations for the 4-year old age group, or does the review committee want to also review the 3 and 5 year age groups?

RESPONSE: Only correlation for the 4-year-old age group is needed for this RFP.

9. Page 8- Entity’s proposal will include the following items for review by City Schools:

a. 1. Five complete classroom kits which include student and teacher materials

i. Do you require print samples by 12/8? If so, where to send?

RESPONSE: Print samples should arrive by 3:00 p.m. on 12/15/23 and sent to:

Baltimore City Public Schools

200 E. North Ave., Room 401

Baltimore, MD 21202

Attention: Suzanne Addington

(PLEASE NOTE UPDATE ON QUANTITY IN QUESTION 3)

b. 16. a 5–8-minute video showing and describing curricular materials

i. Will you accept a shorter video for this requirement? 2.31 minutes

RESPONSE: A shorter video is sufficient as long as it provides a comprehensive explanation of your pre-k curriculum and materials.

10. Financial Proposal Excel Document

a. Are you seeking pricing for 1-year and then renewal in years 2 and 3 OR pricing options for a 1- year, 2-year and/or 3-year option?

RESPONSE: We are requesting all-inclusive pricing for year 1. Any continuing costs for years 2 and 3 should be indicated on the financial document

(consumables, professional development, digital memberships, etc.)

Rev: 03/09/2023

b. We provide a complete classroom kit that includes everything a teacher/student needs for the school year in both print and digital. Can we include that pricing option on the document as well?

RESPONSE: Yes, please include each pricing option separately.

11. When and where should the physical samples be sent?

RESPONSE: Please refer to question 9.a.

12. We have a Pre-K program designed specifically for three-year-olds, as well as our Pre-

K. Would it be appropriate to submit both programs for this RFP?

RESPONSE: You should submit only the pre-k program.

13. Because of the holiday last week, we are wondering if any consideration has been given to extending the due past December 8th at 11am?

RESPONSE: An extension will not be granted. Please submit technical proposals and financial documents no later than Friday, December 8, 2023 at 11a.m.
