Virtual Event Platform license (fixed cost) - Includes most of the core features and functions (rooms, booths, networking, gamification, matchmaking, reporting, etc.). A license is an instance on our hosted servers with rooms and spaces to host a virtual event. It’s similar to a hotel renting a ballroom for a physical event. If you rented a hotel ballroom for the year to use you can host “1” event at a time. If you needed to host two events (concurrent) at the same time you’d need to rent another ballroom or second license. The same holds true for a license This includes both live and on-demand days. If you need to host multiple events at the same time, we offer Enterprise licenses that allows you to host 5, 10 or 15 concurrent virtual events at the same time. Essentially it’s a bundled license package (discounted).To clarify, there would be one main program only for the main sessions and presentations. The concurrent sessions would be for breakout or workshop sessions. So we would only need one license for the main program.
2. Variable costs – These are variable costs specific to each unique event depending on the client and each event unique needs.Support/project management – do you want to go self-service or purchase a project plan to have our team help you set up events? For example, your requirements say “live day of program management support”. We need to know how many “live days” you are planning during the contract term in order to provide pricing. Obviously a client hosting three live days in a year would have a different cost vs. a client hosting 28 live days in a year.Currently we are looking at 24 programs in a year. The programs would be 2-4 hours and one program would be a three-day consecutive program where we would most likely want to consider both options as some events may need more and some less. I would suggest pricing as the self-service, but it would be good to know what the add on cost is to a program for support.
We also need to know what type of live day support you are looking for. There are generally two types:1. Virtual environment helpdesk chat support for attendees. This is where attendees can get technical chat support when inside the virtual environment during live days. To price this out we need to know how many live days. 2. Webinar session dedicated support: we can provide dedicated support for the webinar sessions vs. self-service. Types of dedicated webinar support include: 1. Most client admins handle this, but some clients want to off-load this task to our team. If this is something you want we need to know how may webinar sessions.We handle these items.
Someone from our team to sit on each webinar “dedicated” during the live sessions. In order to price this out we need to know how many webinar sessions need dedicated support.budget for 1 hour to start off each session, (24 hours of time) to include support for technical difficulties
Recording editing: The customer can do this themselves or our team can help edit recordings for a fee.Set up support for each virtual event/environment (rooms, spaces, content, etc.): Clients can set up the events themselves (update designs, add content, sessions, set up gamification, etc.) OR our team can help project manage setting up an event. If you want our team to help with set up, we need to know how many events/projects to price out.8 events so we can adjust to using the system and have support as we become comfortable with the system.
Webinars: we can include a webinar license to use with the virtual environment for sessions. It is “1” webinar at a time per license. If the event(s) require concurrent sessions (multiple live webinar sessions at the same time) we need to know what the max is so we can price this portion out.We would only need one license as we would only do one general session program at a time. So provide the cost for breakout/ workshop sessions.
Integrations: Do you want SSO (single sign on) or any type of API set up?
ADA: The virtual environment hosting the event (rooms and spaces) includes ADA (a VPAT can be provided) features. This is included in the fixed license cost. However, if you want closed captioning for webinar sessions, this is a variable cost per session. We need to know how many webinar sessions you anticipate during the term to price this out.We would need them for each presentation, we have on average 2 sessions per program or more, so that is an unknown as it is not possible to determine the number at this time.
Customization/design: There is no cost to use our existing templates and modify with basic changes (adding your logo, signs, change colors, etc.). But if you want a completely custom design (make it look like your office, etc.) this is an add-on.We should be able to use what is existing
Do you want to include an exhibit hall with booths? If so, how many booths do you estimate?We would need them for our annual large program, that is a three day program and we would be looking at up to 30 booths
I did not see any questions or requirements regarding data security. This is normally a top priority for government procurement of hosted software since Biden’s executive order on cybersecurity took effect last year. Normally the minimum requirement is ISO 27001 certification (we have this).N/A. We are not downloading software
One requirement is for contractor to provide a management plan for each program. How many programs are you planning to run within the 12 month contract period? What is the average attendance size of each program? How do you handle registration data for your programs?Currently looking at 24 Programs range in size from 200 – 1,200, we are looking to increase those attendance numbers. the average program is between 2-4 hours and we do one program that is a three-day program with concurrent breakout sessions, currently 5 hours each day.
2.4.2 Subtask 2 – Delivering On-Demand and video captioning
This subtasks states the contractor will manage the on demand hosting of programs and provide edited videos. Later in your RFQ you state “The platform will need to work with existing streaming services used by USPTO. Those used are WebEx, Microsoft Teams, and Vbrick.” Jujama would be the host for these services but since you are using these 3rd party services any recording of programs using those services would need to be done on the USPTO side. You would need to provide Jujama with the recorded video in either YouTube or Vimeo to play in embedded mode in our service or your recording link would open outside of Jujama. Please confirm this is acceptable as Jujama does not do video editing.We would be looking for the contractor to provide the completed video editing and captioning for programs. If we provide raw video we would need to know the turn around and what any additional costs would be for the services. If we use your platform, please state what that would be and how we would access the platform as we do not want to have to download any software to our systems.
Service Price / Costs
All you ask is for a price for a yearly period without denoting how many programs you plan on running. Please provide an estimate of how many programs you plan on running within the 12 month period and if you want the service so your team can create and setup each program as they like or would each program need to adhere to your delivery schedule? My initial understanding when discussing with your colleagues last year is that you could be looking at 20 plus programs.In our research we have identified some companies that offer an annual rate for either a group of programs or unlimited. Currently we have 24 programs, but would like to have the ability to increase that as needed.
Government Furnished Property and Equipment (GFP/GFE)

Do you plan on requiring your vendor to use any of your equipment or have access to any of your USPTO Network? Jujama does not need to use any clients equipment to perform our duties and tasks. We have our own servers and all data is managed and stored on Jujama servers. If something else is required you need to be specific as to what as that can greatly effect costs.

We do not plan to require use of our systems as we are looking for a stand alone that we can stream directly into for programs. We do not want to install anything on our systems or laptops.

How do we do this? Is there a certificate that needs to be completed or a simple statement stating we comply?

Past Performances / Contracts
You ask for references but also ask for contracts and dollar amounts. As a company policy we will not share another clients contract nor the price they paid with anyone. Just as you would not want us to share your financial commitment. A majority of our business is done with private companies or clients who have NDA’s. We will gladly share references and the details we can regarding their work with us but we want to be clear that we do not share any actual terms or financial data. Please confirm this is acceptable before we proceed to complete RFQ.Ballpark estimates are acceptable so we know the scale of the work done or doing for that reference. Even providing a range would be OK, I think - Under $1m; 1-$5m, 5-$10m etc. Offerors who have no relvant past performance history will not be evaluated either favorably or unfavorably on past performance

Also, where can I find?

Acknowledgment of Solicitation Amendments (SF-30), if any. There is an SF 1449 posted to SAM.gov. A statement providing acknowledgment is what is needed. Any SF-30s will be posted with any amended solicitation.
