Coastal and Hydraulics Lab Unitech, CHL Research Network Copier (Repair and Maintenance)

Performance Work Statement Unitech Master BPA

1.0 BACKGROUND

The Coastal Hydraulics Laboratory (CHL) of the Engineer Research and Development Center (ERDC) executes a wide array of R&D work in areas of navigation and flood and storm prevention for the USACE. CHL has a need to maintain its fleet of aging copiers that exist on the Research Network (RN). We have four network copiers. The oldest two were purchased on 31 May 2006; and the two newer ones were purchased in May 2015. These copiers are vital to our research mission and are critical for uses of the RN, thus it is essential that they remain in good repair. All our copiers were purchased from Unitech Vicksburg and have always been maintained by the same vendor.

2.0 TASKS

The Contractor shall provide the repair and maintenance of CHL’s 4 network Canon copiers.

2.1 CHL Canon Copiers are:

Two (2) Canon IR5870 (color/black)

Two (2) Canon C7260G (color/black)

2.2 We require maintenance and repair coverall on all copiers as follows:

IR5870

o 11,000 black images per month included o 500 color images per month included o Coverage on all parts and labor including any travel costs associated with technician o Coverage on drum and toner

C7260G o 11,000 images per month included o 1,000 color images o Coverage on all parts and labor including any travel costs associated with technician o Coverage on drum and toner

2.3 CHL provides meter readings monthly to the vendor from all our copiers, so the vendor can determine usage. From these readings, the vendor will know when a copier will need periodic maintenance and when a unit will likely need toner. The vendor shall also be available to repair these devices as needed and always be responsive to calls for assistance. CHL will notify the vendor when a copier is malfunctioning, and the vendor shall send a technician to the laboratory to repair the copier. There is little interaction between the technician and CHL staff short of questions concerning when the copier will be functional again.

2.4 Repairs and maintenance contract will be renewed on an annual basis via BPA Call. Invoices will be expected monthly and will be paid in arrears.
