SCOPE OF WORK
January 2026
CALIENTE CREW QUARTERS HVAC REPAIR
Caliente, Nevada
I. General Project Statement
A. The Government intends to award a contract to provide all labor, materials, and equipment necessary to replace two (2) existing Heating, Ventilation and Air Conditioning (HVAC) units at the Caliente Crew Quarters in Caliente, Nevada. The existing HVAC systems are not functioning properly and need to be replaced. The contractor shall provide all resources necessary to accomplish the tasks described in this statement of work.
B. The Caliente Crew Quarters is located at 1400 Front St #1, Caliente, NV 89008.
II. Scope of Services
A. HVAC Replacement
a. Provide new HVAC units equivalent to existing units and compatible with the existing HVAC system components in the existing crew quarters building.
i. Existing HVAC unit Information:
a. 4-ton and 2.5-ton Split system air conditioner Unit. Note: See pictures for model and serial number (contractor to check for accuracy). The existing units are mounted on ground level on a concrete pad. Replace ground mounted units using existing mounting infrastructure.
b. BTU/HR (KW): 48,000 (14.064) and 30,000 (8.8) respectively.
c. Existing unit is propane.
d. Dimensions of units:
i. Cooling unit dimensions:
1. Unit 1: 2.5’x2.5’x2.2
2. Unit 2: 2.5’x2.5x’3.21’
ii. Gas furnace unit dimensions (Contractor to field verify all dimensions):
1. Bryant Plus 80: 2.71’x1.17’x2.57’
2. Bryant Plus 80v: 2.71’x1.43’x2.5’
e. See section VII for additional manufacture information and pictures for reference.
b. Remove and dispose of the existing defective units; dispose off-site in accordance with all applicable laws and regulations.
c. Provide and install two vertical economizers. Install any necessary connections and fittings to incorporate the economizers including any additional penetrations necessary to meet airflow/return air requirements and any components necessary to make the economizer work.
d. Provide and install two new Thermostats similar to existing.
e. Provide new gas and electrical connections
f. Provide and install new condensation drains
g. Provide and obtain any necessary permits
h. Provide one-year parts and labor warranty
i. Provide three-year heat exchanger warranty
j. Provide five-year warranty on the compressor
k. Replace unit with the in kind or equivalent equipment. All parts shall be installed per HVAC unit manufacturer’s recommendations. Miscellaneous materials and equipment for installation to be provided by contractor. Contractor may need to install new connections to mount and attach the units.
l. Use existing mounting infrastructure and concrete pad. Contractor may have to adjust framing or connections in order to mount the units successfully.
m. Start up and verify operations of systems. Provide a technical demonstration of system operations to the COR.
n. HVAC Unit must be Energy Star compliant.
III. Requirements
A. All work performed shall be in accordance with the 2023 edition of the National Electrical Code, 2024 International Building Code and any other applicable codes and industry standards.
B. Deliverables:
a. Submit new HVAC system recommendation and proposal along with manufacture specification for government review (allow Government four business days for review). Unit and components shall not have less capacity than existing unit.
b. Provide manufacture’s operation and maintenance manual.
c. Complete the final HVAC system’s installation and operation inspection. After completion of the installation, test the system and verify HVAC unit functions properly as installed. Provide the test/inspection results to the COR.
IV. Contractual
A. Period of Performance
a. Total time of performance shall be 45 calendar days from the date of award.
B. Site Visit
a. A pre-bid site visit is highly recommended by all contractors desiring to bid on the project. A site visit will be scheduled, time and date will be in the solicitation document.
Fees and Payment:
b. All services, supplies, materials, labor, and travel necessary to perform the work and render the service documents required under this contract are to be included in the lump sum price of this contract.
c. Payment shall be made upon completion of work and successful verification of operation and successful submission of approved deliverables.
C. Use of Premises:
a. Site is currently occupied & accessible.
b. The Contractor and his sub-contractor(s) shall have full use of premises for preparatory work. Contractor’s use of premises is limited only by Government right to perform work.
c. Work schedules shall be 7:00 am to 4:00 pm, Monday through Friday. Any alternative work schedule shall be approved by Contracting Officer’s Representative prior to commencing. No work will be done on a Holiday.
d. Schedule and sequence preparatory operations necessary to complete the work. Schedule work in such a manner as to avoid delays.
e. The Contractor shall contact in writing and have the approval of the COR two (2) working days in advance prior to any preparatory operations to be conducted on the premises.
