5. QUESTION: What is maintained in your ERM system? Could you provide more details?

ANSWER: The primary function of the ERMS is to keep track of licensing terms and licenses.

License Records are Paired up with Vendor Records, meaning that each license has a corresponding vendor record.

Vendor Record contains Admin and contact information for the respective license/publisher

License Record contains several levels of data:

o Basic Info: Create Date; License Name; Resource ID; Licensor; Licensee (NLM, or

NIH); Status (final, in negotiation, retired, etc.); Notes o Additional Info: this is the space where we upload a copy of the License

Agreement (PDF) o Licensed Titles (all titles associated with the license are added here). Each licensed title record displays NLM UniqueID, ISSNs, Title, dates (create and last modified), License URL for the title, Resource Type (E‐Book, E‐Journal, Digital Repository, etc.), and a tickler field for maintenance notes/follow‐up o Licensed Terms (we code the terms based on the License Agreement on file).

Examples of terms are: Post‐Cancellation Access, ILL permissions (restrictions), Archiving Arrangement, Applicable Copyright Law, etc.
