About this file
This document outlines the deliverables and reporting requirements for an NCI Patterns of Care study contract. The contractor will collect data on prostate and ovarian cancer patients diagnosed in 2021, including documentation of palliative care and patient financial impacts from COVID-19. Quarterly progress reports and a final report are required, along with electronic databases of abstracted patient data due by the contract expiration date. Certification of data submission must also be provided. The study aims to describe treatment patterns, compare practices over time and demographics, and assess recurrence and metastasis rates. Data will be collected on biomarkers, targeted therapies, adjuvant treatments, comorbidities, and hospital characteristics. This contract will further the National Cancer Institute's understanding of cancer care practices and outcomes.

NCI Patterns of Care Study: Diagnosis Year 2021 (Prostate Cancer and Ovarian Cancer)
The following deliverables and/or reports will be due in the manner stated below and per the schedule below. All reports shall be submitted electronically in PDF format. (See ATTACHMENT 1 – STATEMENT OF WORK for additional information.)
1. NCI Centralized Abstractor Training Report will be due following the Abstractor Training and shall include the following:

b. Include the plan to implement training to conduct the Statement of Work.
2. Quarterly Progress Reports (Quarters 1-3) will be due quarterly and shall include, but is not limited to, the following:

b. Discuss any barriers or challenges and plans to overcome them, and lessons learned, if any; or indicate N/A if none.
c. Discuss plans for the next reporting period.
d. Tables presenting the number of abstracted cases with data collection completed during the current reporting period and cumulative since the start of the project. Separate tables will be prepared by cancer site. Each table will present the number of abstracted cases by cancer site with data collection in four mutually exclusive categories: from complete medical records (i.e., inpatient and outcome medical records); from physician verification forms (with or without medical records); from hospital/inpatient medical records only (i.e., no outpatient data); and unverified cases (i.e., cases with neither medical records nor physician verification forms used for date collection). Each table will also present the total number of cases with data collection during the current reporting period and cumulative since the start of the project. Complete and submit the following table for each of the cancer sites (prostate cancer and ovarian cancer):
| # of patients with hospital records abstracted by cancer site |
| # of patients with physician verification forms sent by cancer site |
| # of patients with physician verification forms completed by cancer site * |
| # of patients with a unified/ complete record verifications completed by cancer site * |
| # of patients with |
b hospital only verifications completed by cancer site *
| # of patient abstracts with no verification* |
| # of patient abstracts completed by cancer site |
# completed during this reporting period cumulative # completed through end of this reporting period a Unified records include the patient’s inpatient and the outpatient medical records in a single file (if all cancer care was received at a single facility or healthcare system). Complete medical records include the patient’s inpatient and the outpatient medical records from multiple facilities or healthcare systems (if cancer care was received at multiple facilities or healthcare systems).
b Hospital only verifications are those in which data are abstracted from the hospital record alone and the record does not contain all of the inpatient and outpatient records.
*These are mutually exclusive categories. At the completion of the study, these four (4) categories will add to the number of abstracts submitted for the study (100%).
3. Electronic Database Files of Abstract submissions - Due on or before the contract completion date. These two (2) electronic database files - for prostate cancer and ovarian cancer - shall be submitted to the NCI DCCPS’ Biomedical Computing Contractor through the Patterns of Care (POC) portal no later than by the contract completion date.
In addition, Certification of submission letters shall be submitted electronically via email per the submission instructions in the Deliverables Schedule Table below. The Certification emails will serve as notification that Deliverable 3 and Deliverable 4 for the Electronic database files of abstract submissions were uploaded into the POC portal. This email should also specify the number of abstracts in each data file. Two (2) separate Certification emails shall be sent: one email to confirm submission of the prostate cancer database files and a second email to confirm submission of the ovarian cancer database files. (See Deliverables Schedule Table below.)
4. Final Report - Due on or before the contract completion date and shall include technical progress inclusive of the work performed for the entire contract period of performance. The report shall include, but is not limited to, the following:
a. Technical Progress Report for the entire contract performance period to include the 4th Quarter with the same level of detail as provided in Technical Progress Reports #1 - #3.
| I. | Objectives of the study |
| II. | Progress |

B. List any work not completed that was proposed
| III. | Describe problems and resolution of the problems |
| IV. Describe sampling process for the initial sample and for the subsequently identified | patients. |
| V. | Results |
A. Data by cancer site
1. Number of cases sampled
2. Percent of patients having the data verified by physicians/unified or complete record, hospital only, or not verified in the following table:
| # of patients with hospital records abstracted by cancer site |
| # of patients with physician verification forms sent by cancer site |
| # of patients with physician verification forms completed by cancer site* |
| # of patients with |
a unified/ complete records verifications completed by cancer site* # of patients with b hospital only verifications completed by cancer site*
| # of patient abstracts with no verification* |
