Question(s) Government Response

1. Could you please provide the quantity of both single-channel and multi-channel pipettes scheduled for calibration in each section?

1105 single channel pipettes 379 multi-channel pipettes

2. Additionally, I would appreciate more detailed information regarding the calibration requirements. Specifically, I need to know how many readings are needed and at which specific volume levels. I was thinking that four readings at both the low and high volumes might be sufficient, but I'd like to confirm if this meets your standards.

5 readings at a high, medium, and low volume (depending on total volume of the pipette).

3. Given that one of the sections is due for calibration in August and the deadline for this bid is August 11, I'm also wondering if there will be enough time to receive approval before the end of the month to ensure we can actually schedule this in August. Your guidance on this timeline would be greatly appreciated.

The current certificate expires on 8/31.

If we are unable to schedule pipette calibration services before that date, our quality program will initiate a non-conforming event to document the lapse and outline corrective actions and result reviews to ensure minimal impact.

4. We would like to know if this is a brand new contract OR if there is (was) an incumbent performing these services.

If not brand new, could you please provide the current / previous contract number?

This is a brand-new contract. We have used other vendors in the past for calibration services procured through other mechanisms.

5. How many single channel vs 12 channel vs 8 channel pipette are there? The amount of time it takes to service a multi-channel is way more then a single channel.

6. Does the first round of service have to be done in August?

That would be very hard as this is a very large and long job where we are already in August with busy technicians. Can the first round of service be completed in September?

7. Are all 1484 pipettes being serviced every six months or is there a breakdown? The quote asks for unit price x 1484, is this x2 since it every six months or is 742 being done every six months?

See #6 for due date. Next calibration due date is 6 months from that date.

8. Does the service have to be ISO 17025 2017 Accredited? The bid isn't clear on what level of service as all pipette service companies offer different levels of service and each take more or less time.

No ISO accreditation. Some pipettes are listed as CLIA equipment/instruments.

9. I see that different departments are having service at different time but that each is done every 6 months.

I would need a better breakdown of how many each department has for each visit and the breakdown of single channel vs 8-channel vs 12-channel.

This way we can determine how long each visit will take.

Please clarify if the pipette calibrations should meet ISO 17025 accredited quality standards?

No ISO accreditation required at this time. See #8.

12. Section 2, Purpose/Objective

Do you require ISO 17025 accredited certificate of calibration for each pipette? (traceable calibration certificates)

No ISO accreditation required at this time, however we should be able to trace the certificates to the individual pipettes. See #8 and #12.

13. Section 3, Scope of Work

Please clarify how many test volumes and readings are to be recorded for As Received and As Returned calibration tests.

Partnering with another company is not required.
