About this file
This is Amendment No. 2 to a catering solicitation (No. 693JK426R500001) for the Department of Transportation's 58th Annual Awards Ceremony scheduled for June 2026. The amendment provides clarifications and answers to 18 questions posed by prospective offerors during a pre-proposal walkthrough conducted on March 17, 2026. The event requires catering services for two reception areas with specific table configurations: four 6-foot rectangular tables in the small reception area, 22 6-foot rectangular tables in the main reception area, and ten 8-foot round tables with 120-inch tablecloths. Food and beverages will be set up at separate stations in both areas, with passed hors d'oeuvres limited to the large reception only. Fresh flowers are required for the small reception. The contractor must provide vehicle and driver information at least five business days prior to the event and obtain an escort while inside the DOT building. The loading dock height is 42 inches from the ground, and food items must pass through security screening.
The amendment establishes comprehensive fire safety procedures for sterno chafing fuel use, requiring only ethanol gel fuel, linen tablecloths, and mandatory staff monitoring of chafing stations. A minimum of two ABC-type fire extinguishers must be located within 10 feet of chafing stations, and a contractor staff group must attend fire extinguisher training with DOT Facilities. The amendment also adds an Insurance clause requiring contractors to maintain Comprehensive, General Liability, and Workers' Compensation coverage with minimum limits of $500,000 per person for Comprehensive and General Liability, and $100,000 per person for Workers' Compensation, along with Property Damage Insurance. Contractors must file a certification of insurance within three days of contract award and provide notice of any cancellation within five days. Food handler certifications are required for all non-managerial food service and kitchen staff, including those not working at the event but participating in food obtaining, cooking, preparing, or transporting to the ceremony.
