Amendment No. 1
To
DOT’s Document-Destruction Request for Quotations (RFQ) No. 693JK419Q500010
This Amendment No. 1 answers questions posed by one or more prospective bidders / quoters / offerors.
1. Question: If the destruction is done on-site (i.e., on DOT’s site) will there be a designated area for the truck to park while the service and destruction is being done?
1. Answer: Parking may be available at the DOT loading dock depending on what type of vehicle is being used for the service, size, noise and loading dock availability. The government cannot guarantee space will always be available at the loading dock, but when such space is available the document destruction vendor will be permitted to use it. The current service provider parks outside the bollards on 4th Street but does occasionally get ticketed for doing so.
2. Question: Do you have a current estimate of the average volume of paper that is being serviced under the current contract?
2.Answer: Paper is no longer weighed prior to destruction, so DOT cannot state with certainty the average volume of paper destroyed. However, the service provider is required to service all containers during each visit. Further, the following is one cognizant Security program officer’s best estimate regarding the average volume of paper being serviced, per service, under the current contract:
@ DOT HQ = 129 consoles and 5-10 totes
@ FAA 10A and 10B = 99 consoles and 5-10 totes
@ 6 satellite offices = 2 consoles each
@ 1 satellite office = 5 consoles
3. Question: In Part II Statement of Work in section 5 it states: “The contractor must therefore be able to furnish, on a temporary basis, at least 30 portable containers (hereafter referred to as
“totes” which have approximately a 95-gallon capacity) that can be secured with small key padlocks, to fit with 3/8-inch shackles.”
• In line item 00002 the 30 95-gallon totes are listed to be serviced for 26 pickups. Are these 30 bins in addition to the ones referenced above or are these 30 temporary bins serviced every 2 weeks with the consoles? If all 30 are not serviced every 2 weeks do you have average of how many typically get serviced each service?
3.Answer: The 30 totes is the maximum aggregate total number of 95 gallon containers, per service, that are required to be serviced under this RFQ’s contemplated new contract. The bins
(totes) are serviced at the same time the consoles are serviced. DOT only requires the contractor’s ability to service up to the aggregate maximum total of 30 totes, per service. This does not mean that the aggregate maximum total of 30 totes will necessarily be actually serviced by the contractor every 2 weeks. The total number of totes actually serviced, per service, at each particular location (with the exception of satellite offices) ranges from 0-30.
4. Question: If all 30 totes are not serviced every 2 weeks, does DOT have an estimate as to the average number of totes serviced in each service?
4. Answer: See answer to question numbered 2 above.
This RFQ Amendment No. 1 provides no further answers or clarifications.
