SOLICITATION 6923G218Q000006 QUESTIONS AND ANSWERS – PAGE 2 OF 3

1. What time on Saturday, June 16, 2018 can we begin breakdown?

A. Breakdown shouldn’t occur Saturday at all there are too many people on campus

2. Please confirm we are only responsible for cleaning out work debris.

A. Yes, you would only be responsible for cleaning out work debris and any of your belongings.

3. It states no vehicles on Tomb Field or Track. Are reach fork lifts, etc. allowed (if roadway ply is used?) To build structures the size you are requiring and provide the weight required to secure them, we must be able to bring some sort of heavy equipment onto the field

A. Reach fork trucks are ok, just no heavy vehicles can drive on or over the track

4. Do chairs need to be linked together as per Fire / Building Code?

A. Chairs are not connected just plain white folding chairs

5. I need more detail of how your backdrop is constructed so I can allot appropriate staff.

A. The backdrop is wooden and paneled it has been built by three persons in about two hours in past

6. The Wing Tent 82’ x 32’ (25 Meters x 10 Meters) is on your scope of work, but the 131’ x 32’ (40 Meters x 10 Meters) structures not. Please confirm which, or if both are correct.

A. Wing tent but, both are correct ‐ there is some flexibility based on different types of tent structures

7. How far of a run is it for the generator cabling?

A. Generator run is approximately 100 feet

8. Will the dance floor be covered from the elements or do we need to provide a weather resistant dance floor?

A. In the past the dance floor is not covered as to not obstruct the view and in inclement weather that event is cancelled or moved to an indoor location

9. Where are the news trucks and media tables located (distance from audio console)?

A. Media is invited to sit next to stage and they have usually filmed from edge of the field. We are not anticipating a lot of media this year

10. Are we using the same chairs, stage, etc. from Tomb Field or are we supplying an entire additional lot of equipment (essentially doubling your order?)

A. The chairs are not moved by us so whatever the chairs are for each event is what is required. The inclement weather contingency plan should include pricing for double the order

11. How is the audio and lighting being flown or rigged?

A. Audio and lighting has been done in past by attaching to wing tent. We don’t do any of it.

Past contractors have sub contractor specialists

12. Has a contractor performed similar work to this for the government in the past?

A. Yes, similar work has been performed in previous years.

13. If available, please provide the incumbent contract number.

A. Last Purchase Order number was: DTMA95P1600131

14. If you are unable to provide a contract number, is it safe to assume this is a new requirement for the government?

A. Please see above
