ADDENDUM NO. 1

08/05/2025

25-06050-P-LP

NATURAL TURF ATHLETIC FIELD MAINTENANCE

The original RFP documents shall remain in full force and effect, except as modified herein, which shall take precedence over any contrary provisions in the prior documents.

This addendum is being issued to address questions received, make revisions to the original solicitation document, and/or release attachments.

The following are questions and answers regarding the above-mentioned solicitation:

1. Question: Please provide the most recent bid tabs, awarded contractor, and contract.

Answer: Attached.

2. Question: To be clear, there is no mowing. If added, will it be a reel or rotary mower?

Answer: Yes, there is mowing for all natural athletic fields (i.e., football, baseball, softball, grass areas inside and around the stadiums), and no reel mowing.

3. Question: Will the district provide maps and layouts of athletic fields?

Answer: This will be provided where available.

4. Question: Define boundaries inside or 10 feet outside of the fence to include pitching mounds on 1st and 3rd base sides. Are Bull Pens included?

Answer: “Boundaries inside or 10 feet outside of the fence” can be understood as 10ft outside any fenced-in athletic field or area, and yes, the Batting Cages and Bull Pens are included.

5. Question: What is the required top-dressing tonnage?

Answer: Undetermined.

6. Question: Where are the underground storage tanks located? Will this work require a person certified for confined spaces?

Answer: The location of the underground tanks varies at each location and will be provided at the time of inspection. Confined space certification is not required, as an APS representative will be present at the time of inspection.

7. Question: What is the current annual contract spend with BrightView?

Answer: $260k

8. Question: What is the CPI history (% price increase) since the contract started in 2018?

Answer: There wasn’t an increase in budget spending.

9. Question: At the pre-bid meeting, it was stated that Howard uses Walden fields. Should Howard be deleted as a location for Football and Softball? Two less fields and one less location?

Answer: Howard has a flat, ground green space field on campus that will require service. This would result in one less field, as they do not have a softball field on campus.

10. Question: Which fields and locations are mandating reel mowing?

Answer: No reel mowing on any fields.

“Equal Opportunity in Education and Employment”

11. Question: Please provide clarity on where this contract ends and the grounds maintenance vendor starts (i.e., inside the fence line). Any exceptions?

Answer: Inside the athletic fences and 10ft around any athletic facility, no.

12. Question: Do the April & September Weed control applications intend for the Grass? The infield? The warning track? The Fenceline?

Answer: These applications should be done based on industry standards and involve all areas.

13. Question: Is there an opportunity to recover the "as needed" costs in 3.4.1.2 concerning current weed infestations removal?

Answer: No

14. Question: Concerning the Fertilization program in 3.5.1.3, it mentions soil testing before each "application" is this intended to mean a Soil Test for each field annually?

Answer: Yes

15. Question: Concerning 4.1.1 Infield Moisture Absorbent, is this intended that the vendor provides 1 ton of material per field and incorporates it at the time of infield mix application in 3.8.4.7? Or would you please define this expectation of labor, material, and equipment?

Answer: This is added during the time of infield mix application, and Athletics will purchase additional absorbent as needed for each field for the coaches' use.

16. Question: Will Coaches & Players be expected to groom the infields and maintain the batters' boxes, pitchers' mounds, and bull pens daily during their season?

Answer: Coaches will have access to basic rakes to groom fields. The dragging of fields is not required by coaches at fields, but it is strongly suggested where resources are available.

17. Question: May we visit and observe the potential equipment storage locations?

Answer: APS Athletics does not offer equipment storage space for Natural Turf Equipment.

18. Question: Would you please provide known schedules for Field usage of all grass fields concerning practices, games, PE, or other usage expectations?

Answer: Schools utilize field space from 7:30 am to 4:30 pm (M-F classes), Athletic Events 5:30 pm – 10 pm M-F

(8 am-5 pm Sat), but this schedule is fluid across the entire district.

19. Question: Concerning the "conversions" Baseball to Softball and back. Is this simply mowing lower the bases for Softball, or is this sod removal and replacement?

Answer: This is an infield conversion that includes mound removal and replacement, installation of removal fencing, and sod replacement when needed.

20. Question: Is the 12-ton infield mix incorporation simply grading, or is Laser grading required?

Answer: It is grading.

21. Question: What is the boundary for the King location Softball Field? Specifically left Field.

Answer: The boundary extends to the fences and includes the trees at the tree lines on all four sides.

22. Question: What is the Price location of the Softball field? Is it the same location as Football/Soccer?

Answer: Price does not have a softball field; they have a green space.

23. Question: Is Sutton 7th/8th Football/Soccer Artificial and excluded?

Answer: Sutton 7th/8th Football/soccer is artificial; however, the baseball field is natural and will need services.
