About this file
This is a Request for Information (RFI) document issued by Gwinnett County Public Schools (GCPS) in Georgia for the lease of printers and related equipment for the school district's print shop. GCPS is seeking comprehensive solutions for monochrome digital production printers capable of handling approximately 23.1 million black ink impressions annually (ranging from 13.1 to 30.1 million), color digital production printers for approximately 1.6 million color impressions annually, and wide-format printing equipment comparable to their current 44-inch printer. The monochrome printers must support 8 input trays with auto-switching capability, inline finishing capabilities including stapling (60,000 pieces yearly), saddle stitching (10,000 books yearly), and 44-hole punching (3 million sheets annually). Color printers must support 6 input trays and include saddle stitching (35,000 books yearly), inline folding (50,000 sheets annually), and the same punching capabilities. Additional services include a Prismasync digital front end print controller and Prismaprepare file makeready solution. Wide-format requirements include roll and rigid material printing, straight edge cutting, and contour cutting capabilities, with current annual production of 2,600 posters and 5,000 outsourced stickers. The RFI submission deadline is Thursday, March 26, 2026, at 9:00 AM EST through Euna Procurement (formerly Bonfire), with a question cutoff date of Thursday, March 19, 2026, at 9:00 AM EST. The contract term is five years, effective July 1, 2026, through June 30, 2031.
The Service Level Agreement requires comprehensive coverage including all preventative maintenance, labor costs, parts, supplies, and toner/ink (excluding paper and staples), with onsite response time required within five business hours of service request. The vendor must provide wear parts within two business days of recommended replacement cycles and common failure parts within three business days of failure notification. An annual machine performance review is mandated during March or April, and equipment must perform to manufacturer specifications throughout the lease term or be replaced. For every nine consecutive business hours of unplanned downtime exceeding the standard response time, a 1% credit applies to the monthly service invoice, and if downtime exceeds five business days, a comparable replacement unit must be provided. Pricing information may be provided for reference purposes. Respondents must submit three references of similar contracts, a signed letter of transmittal from an authorized company official, and supplemental information in appendices. All RFI responses become GCPS property and responses will not be publicly available until after an award is made or a contract is entered into. This RFI is issued for information and planning purposes only and does not commit GCPS to procure any goods or services.
