About this file

This document is Appendix 3 for RFP 26RFP023, a Musical Instrument Repair and Maintenance pricing sheet completion instructions issued by Austin Independent School District's Contract and Procurement Services. The RFP provides detailed guidelines for vendors to submit pricing for musical instrument repair services.

The pricing instructions require vendors to provide not-to-exceed hourly rates for each repair type in the "Unit Price" column, with actual repair costs based on complexity and scope of work. Each instrument category has a maximum number of service hours the District will compensate at the quoted hourly rate. For services exceeding the established service hours cap, vendors must provide a flat rate per instrument representing the total cost to complete necessary repairs beyond the stated hourly cap. Vendors may also include flat rates for pickup and delivery costs if applicable. The goal is to establish clear pricing parameters for musical instrument maintenance and repair services.

Appendix 3 26RFP023 Musical Instrument Repair and Maintenance

Pricing Sheet Completion Instructions

In the “Unit Price” column of the Pricing Sheet, vendors shall provide their not-to-exceed (maximum) hourly rate for each repair type listed. Actual repair costs will be based on the complexity and scope of the required work; however, in no instance shall the amount billed exceed the hourly rate quoted on the proposal form.

In the “Category Service Hours Cap” column, the maximum number of hours that the District will compensate at the quoted hourly rate is indicated for each instrument category. For any service within a designated category that is expected to exceed the established Service Hours Cap, vendors shall provide a flat rate per instrument in the “Flat Fee per Instrument (for services exceeding service hours cap)” column. This flat rate shall represent the total cost per instrument to complete all necessary repairs beyond the stated hourly cap.

Vendor may provide a flat rate for pickup and delivery costs in the "Unit Price" column if applicable.
