About this file

This is an amendment to solicitation 36C26325Q0330 that extends the offer deadline to February 7, 2025 at 17:00 CST and provides responses to vendor questions regarding grease interceptor services at the Minneapolis VA Medical Center. The amendment includes key clarifications that portable vacuum carts must be used instead of running hoses from outside due to safety concerns with the facility's automated robotic delivery system. The work involves quarterly servicing of six grease interceptors ranging from 70-400 lb capacity, with services to be performed between 7:30 PM and 5:00 AM Monday through Friday.

The Statement of Work requires the contractor to remove all liquids and solids, clean baffles and interceptor sides, ensure sewer lines are unobstructed, inspect equipment integrity, properly dispose of waste, and provide before/after photos. Contractors must obtain PIV security badges, complete required training, and check in with facility staff upon arrival. The amendment also clarifies that documented evidence of vacuum pump equipment can be provided via picture, receipt or signed statement with model/serial numbers. Work locations and exit routes are detailed in separate attached documents.

The purpose of this amendment is to:

1. Extend the offer deadline to the time and date listed in box 11 above.

2. Respond to vendor questions.

3. Modify the Statement of Work in response to vendor questions.

See the updated Statement of Work below, changes highlighted.

Vendor Questions in Bold/VA Responses in Red

1. Would it be possible to visit the facility to see the locations of the grease traps before we bid the work for this grease pumping?

The opportunity for a site visit has passed, see the Addendum to Instructions to Offerors 52.212-1 in the solicitation.

The locations of the grease traps are noted in the attached “S02 Bldg 70 Grease Trap Locations”.

2. I do not see any mentions regarding what type of units are required to service the grease trap in the kitchen? Can we run hose from the truck outside or do these need to be serviced with portable units only?

Due to the location of the grease interceptors, running a suction hose from outside of the facility to the grease interceptor is not a viable option. The hose would interfere with the automated robotic delivery system used to deliver food, supplies, and materials throughout the facility. It would also be a trip hazard for personnel that use that route to perform their duties. See the attached “S02 Bldg 70 Exit Route”.

Therefore, a portable vacuum cart must be used for this requirement (see the updated Statement of Work).

3. Could you please clarify what documented evidence you're looking for a functioning grease trap vacuum pump?

A picture, receipt or signed statement identifying the vacuum pump model and serial number would suffice.
