3. Could you describe what a Stat order is?

4. Can you provide a description of an As Needed order?

5. Could you describe what an On Demand order is?

7. Is there any competition for the time it takes to loading and unloading supplies?

8. Can a separate line item be added to the solicitation for pickups in the morning and late afternoon runs? Late afternoon runs take twice as long due to traffic congestion?

9. How will the contractor be compensated for extra costs due to unforeseen situations like highway closures in the winter months if alternative routes must be taken that add more mileage and labor hours?

10. Is it recommended or required for the vehicles to have at least 200 sqft of cargo space?

11. Is there an additional fee for On Demand services after hours or on weekends?

12. How long must the driver wait for a pickup if its not ready before leaving?

13. Does the solicitation include compensation for waiting time?

14. What is the maximum weight per one item for the contractor to expect?

15. How should pickups with items exceeding the weight limit be handled?

27. What is the required response time for pickup and drop-off for On Demand requests?

28. What is the required response time for pickup and drop-off for

STAT requests?

ANSWERS

1. It should be as soon as feasibly possible, usually in the call-in order when needed

2. They are the same

3. High priority, as soon as can be picked up and delivered, normally delivered within 90 minutes.

4. Outside of scheduled deliveries, same as on demand

5. Outside of scheduled deliveries, same as needed

6. As with any contract, the vendor is responsible for providing pricing for each option year in their solicitation

7. No, the vendor will need to be able to determine their routes to be able to complete all routes, with multiple pick-ups and deliveries, during operational hours.

8. That is for the vendor to determine. Current vendor established a CLIN may have 1-3 charges daily based on the number of routes they have.

9. I’m not answering that

10. Not required

11. The vendor needs to price the CLIN accordingly

12. The vendor will need to provide an appropriate wait time in their solicitation response, 15 minutes would be considered the norm

13. No

14. 50lbs

15. May be refused, report to COR to discuss alternate means

16. Discuss with COR/CO

17. Yes, Reason for OnDemand/As Needed

18. Yes, why there are On Demand/As Needed CLINS

19. We can provide primaries, but as there may be needs at all hours, alternates may just be designated as representatives via a password that may need to be set up. Will need to be discussed.

20. At this time, beyond the 15 minutes, the facility has been notified the drivers will leave. There is no additional charges authorized if the driver takes it upon themselves to remain. May need further discussion

21. At this time there are only two authorized drop offs for the Portland Medical Center, the B1 Courier Room and the Lab. It is assumed that is covered in the run fees and should be priced accordingly as the vendor is bidding on multiple CLINS but transporting on the same run.

22. There is parking at warehouse loading area but as with all vendors may need to be worked out at the time of pick-up and delivery. CBOC parking area is limited, and some do have loading/unloading zones, others do not due to their locations/zoning.

23. 50 lbs.

24. This has not been set but the facility tries to limit to less than 7. It can be discussed upon each requirement.

25. Not discussing

26. As Needed should be completed as soon as the vendor can get it done within a reasonable time, I’m really not sure what should be considered, I would say within 4 hours? For non-stat

27. Same as 26

28. 90 minutes dropped off from time the call is placed

QUESTIONS

1. What is the set start date of the contract if awarded?

2. Can loads be combined?

3. What was the last yearly contract value?

4. Can loads be transferred between drivers?

ANSWERS

1. You will have to answer. Trying for May 1st, but of course based on review, etc.

3. Can not give you yearly amount I can provide the total contract value only

4. Yes, It is assumed there is record keeping by the vendor for chain of custody.
