1. Question: Scope of Work included ‘repairs’ as noted; All deficiencies identified during the PM service shall be reported in writing by the contractor to the COR, prior to the contractor departing from the site visit. The COR shall determine if the deficiencies can be repaired as part of the next PM service, the repair request and issue a determination, which shall be communicated to the contractor or if an emergency repair is needed. If an emergency repair is required, the Contractor shall provide the COR a cost estimate for the repair. The COR and CO shall review from the COR. If the determination has concluded to exercise and emergency repair, a modification to this contract shall be required. Once the modification is complete, the CO will notify the Contractor the work is ready to be scheduled through the COR.- Please advise the scope or extent of repair, does this pertain to duct/kitchen hood damage? (holes or tears in the kitchen hood) or is the requirement pertaining to PM maintenance repairs such as fan belt replacements, fan replacement, hinges/chains on fans, balance fans, etc.? Note that if ‘repair’ requirement is for damages on the kitchen hood such as holes or tears on the duct, this will fall under construction or full replacement.

Answer: The COR would just like to be made aware any items found that are in need of repair.

1. Question: If the requirement for repairs requires construction (replacement of duct, fabrication, etc.) can the VA identify extent of repairs so we can provide accurate pricing.

Answer: We are simply asking that if something wears out or breaks can you please provide a quote.

1. Questions: The Price/Cost Schedule itemized the scope as noted; Inspect, test, repair, and clean the kitchen hood exhaust system which includes kitchen hoods, kitchen hood fans, grease removal devices, filters, ducts, and other appurtenances for the four (4) kitchen exhaust systems listed in the Scope of Work (SOW). -Please note that without knowledge on type of repair to the kitchen hoods and duct, the ‘repair’ portion of the RFP cannot be priced and will be excluded from this proposal. Please advise if acceptable.

Answer: We will remove the word “repair” so it will state, Inspect, Test, and Clean. The Price/Cost schedule now has a line item asking for pricing if a repair was to be needed.

1. Questions: The Kitchen hood duct (3rd floor kitchen) does not have access doors (unlike the other locations)- this would be difficult for cleaning as access is needed. Can the VA advise how maintenance was performed before by the previous hood cleaning company the facility uses?

Answer: That small section of ductwork doesn’t require access panels.

1. Contractor noticed a leak and damage to the existing duct from the ground floor kitchen passing thru the backroom hallways. The VA confirmed it is connected to the main ground floor kitchen hood and noted that the duct leaks during maintenance cleaning. - Does this duct need to be repaired/replaced first prior to proceeding with the inspection and cleaning of the kitchen hood? Please advise if this needs to be priced as well.

Answer: This horizontal run is very old ductwork and only requires inspections. The newer vertical stainless duct will require a full cleaning.

1. Questions: Also, there isn’t any mention of the dimensions of the hoods. Can we get that information?

Answer: We don’t have this information on hand. An optional site visit is now being offered on 8/12/2024 at 2:00 PM MST at Bldg 8, 2121 N. Ave, Grand Junction, CO 81501 . Venders can obtain their own measurement during the site visit.
