Long Term Document Storage

Questions and Answers

Question 1: Section 2.6 - IVD will provide the documents boxed up and labeled and closed with secure security tape. The contractor shall shrink wrap and place boxes on pallets at the HEC and then take to an offsite storage location. Shall boxes, if they need to be opened to retrieve and return a file, be resealed with security tape? Is it acceptable to shrink wrap pallets once boxes are loaded onto pallets or does each box need to be shrink wrapped?

Government Response: If the box is opened it will need to be resealed with security tape. Just the pallet of boxes needs to be shrink wrapped, not each individual box.

Question 2: I would like to know the sizes of the boxes that will be stored? Also, are these boxes be stackable? Can the boxes be stacked on the pallets and secured with the shrink wrap upstairs on the 4th floor? Or will the boxes have to relocated to the loading dock and placed on pallets and then shrink wrap?

Government Response: The sizes of the boxes are: L-12 W-15 H- 9.5 (inches). The boxes are stackable. Boxes will need to be relocated to the first floor or the loading area, placed on pallets and then shrink wrapped.
