Questions and Answers

The following responses are provided to questions in response to solicitation 36C25923Q0124.

Question 1: Would the end user consider a site visit?

Government Response: See the solicitation posted at SAM.gov.

Details for site visit is included in the attachment 36C25923Q0124.docx.

“Offers are due 01-24-2023 @ 1400 MST. All questions/inquiries must be submitted to the contract specialist via electronic mail (e-mail) not later than 1-17-2023 @ 1400 MST. If a site visit is desired, contact POCs Steven Wyatt; steven.wyatt1@va.gov, (303) 877-4933 or Jonathan Williams, jonathan.williams4@va.gov, (303) 877-4933 to schedule. Site visits must be pre-scheduled and will be conducted on 01-10-2023 or 01-16-2023 between 0615-1000 MST. Visitors must check in at VHA IVC, 3773 Cherry Creek Drive North, Suite 470, Denver, CO 80209-3804 upon arrival at their pre-scheduled date/time. Inquiries submitted via telephone calls will be re-directed to an e-mail submission.”

Question 2: 1-Executive Board Room Suite 450 -This room will utilize the Government supplied rolling cart carrying the liquid crystal display (LCD) Monitor/TV, speakers, and equipment rack located (What is currently installed in rack?) in the cabinet at the back of the room.

Government Response: Please reference attached photos “c”, “e”, and “f” showing the current audo visual equipment located in the closet in the rear of the conference room. The functions of this system are uncertain.

Question 3: New point, tilt, zoom (PTZ) camera(s) will be ceiling mounted and setup to automatically zoom in on the person speaking to enhance the meeting experience from the far end. Ceiling microphone(s) (Full coverage of room or coverage over the table only?) will be used to enhance the meeting experience for the far end of the space along with triggering the camera presets so that the camera focuses on the speaker in all areas of the space.

Government Response: Vendor may attach to table or mount from ceiling using pole or some other device. Camera or cameras must capture any participant at the front of the room near the TV or seated at the table. Reference attached photos “a” and “b”.

Question 4: A peripheral touchscreen display, at least 10” screen size, will be placed on the boardroom table. (What is the 10” touch panel controlling?)

Government Response: The function of this display will be to allow the meeting moderator to start the virtual meetings, allow participants to join the meeting, close meetings, and mute functions. The Touchscreen may connect as a plug and play peripheral device that controls the laptop.

Question 5: Contractor will provide a “bring your own device” connection that allows a laptop to connect to the room’s peripherals for video conference calls. (Where is this connection point supposed to be? Table?)

Government Response: The connection point will be located in the center of the conference room table. Photo “b” is of the connection point. This connection point is a converter of multiple types of commonly used inputs to a single output (HDMI). Reference attached photo “b”.

Question 6: HDMI wall plate will be used to feed the Government provided rolling cart carrying the LCD Monitor/TV. (We assume this is coming from the rack?)

Government Response: The HDMI wall plate will need to be installed on the wall directly behind the LCD Monitor/TV at the front of the room located below the adjacent windows indicated in “red” on the drawing. Reference attached photo “z”.

Question 7: Are there current speakers in the ceilings? It states something about speakers on the cart, but the room is large and may not provide enough coverage for the room.

Government Response: No; there aren’t any speakers currently installed in the ceiling. There are a set smaller speakers located on the monitor/ TV cart that are inefficient. Ceiling mounted speakers are required.

Question 8: What device will be hosting the video call? The Laptop connection point?

Government Response: There is currently a laptop connection for the system.

Question 9: Are there any other sources in the system? Blu ray, System PC, Codecs, etc.

Government Response: No other systems are included.

Question 10: What is the model of the display on the cart?

Government Response: Please see attached pictures of the current Monitor/TV with model numbers on the back of unit. Reference attached photos “g” and “h”.

Question 11: And any other government furnished equipment?

Government Response: No other equipment is provided.

Question 12: Could you provide me with a Bill of Material (BOM) for the above project?

Government Response: Your question has been received. There is no Bill of Material (BOM) included with the solicitation; the Contractor is responsible for providing material required to complete the requirement in accordance to the Statement of Work.

See the solicitation and the provided attachments posted at SAM.gov.
